Job Description

We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative and sales support to our management and sales teams. This role requires exceptional multitasking abilities, strong communication skills, and a customer-focused approach.

Responsibilities:



Provide administrative support to the management team, including managing calendars, scheduling appointments, and handling phone calls. Assist the sales team by updating the CRM (preferably HubSpot), generating new leads, managing accounts, and ensuring timely and accurate delivery of campaigns. Build and present Post-Campaign Reports while collaborating with other departments to meet client needs and uncover new sales opportunities. Greet and assist visitors, ensuring a professional and welcoming office environment. Perform general clerical duties, including data entry, filing, and photocopying. Prepare, proofread, and edit documents, reports, and correspondence. Maintain office supplies inventory and place orders as needed. Coordinate and organize meetings and events, managing logistics and preparing materials. Create and curate engaging content for social media and email marketing campaigns. Support bookkeeping tasks, ensuring accurate financial records using QuickBooks (proficiency required).

Qualifications:



Previous experience in administrative or sales roles is preferred. Strong customer service skills with the ability to manage diverse client needs. Excellent problem-solving skills to address client challenges effectively. Superior organizational skills and attention to detail, with the ability to manage multiple accounts simultaneously. Strong time management and multitasking abilities to meet deadlines and shift between tasks efficiently. Exceptional verbal and written communication skills for client interactions and professional correspondence. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software, preferably HubSpot. Familiarity with phone systems and customer service principles. Typing accuracy and efficiency. Experience managing social media channels and email marketing campaigns. Bookkeeping experience is
