Requisition ID: 201348Join a purpose driven winning team, committed to results, in an inclusive and high-performing culture.As the Executive Assistant, you will be responsible for providing senior administrative support to the SVP, Retail Deposits, Savings and Investments, and supporting other VP\'s with basic project follow-up, reporting, action planning, communications and presentations.Is this role right for you? In this role, you will:

  • Support the SVP with day-to-day management of their schedule, including establishing and coordinating calendars, arranging and scheduling appointments on their behalf, and anticipating scheduling conflicts and providing solutions
  • Providing receptionist support by receiving, screening and referring incoming calls/visitors using a high degree of discretion
  • Support with correspondences and action as appropriate, including responding or filtering as needed, composing correspondences for review, producing material from written copy/rough notes, proofreading, and setting up and maintaining filing systems
  • Organize meetings and conferences by assessing and seeking out the most appropriate venue based on attendees and meeting size, while overseeing arrangements ensuring smooth execution and assessing outcomes for future reference
  • Arrange bookings for internal and/or external conference rooms, related equipment and materials, and vendors (i.e. hotels, caterers, flights, etc.)
  • Provide administrative and project related support such as verifying bills and expenses, tracking completion of actionable items from meetings, preparing Service Level Agreements, preparing and submitting reports and various communications
  • Assist in maintaining the department\'s expenses and budgets by preparing entries/transactions to process payments, as well as record, input and document data to monitor and control expenses
Do you have the skills that will enable you to succeed in this role? We\'d love to work with you if you have:
  • Previous Executive Assistant experience is considered a strong asset
  • Strong organization skills with the ability to management multiple ongoing initiatives with tight deadlines
  • Strong knowledge of MS Office applications, particularity spreadsheets and presentation tools
  • Strong verbal and written communication skills in English, with the ability to articulate well; Spanish language skills is considered an asset
  • Sound knowledge of business and Bank terminology and department procedures
  • A high level of discretion when dealing with confidential matters
  • Good interpersonal and relationship management skills
  • Flexibility to support senior leadership, working in a hybrid environment with the expectation of balancing working from home and coming in to the downtown Toronto office on a weekly basis
