Job Title Executive Assistant



What is the opportunity?

In this role, you will act with utmost professionalism, as the Executive Assistant to the Head of IS Market Services in the day-to-day management of the group, proactively creating capacity by providing effective administrative support to a global team of professional in the office for Investor Services.

You will be responsible for organizing schedules and correspondence to ensure operational effectiveness of the Executive\xe2\x80\x99s office, and with strong attention to detail, reacts with speed and anticipation to meet the needs of the leaders, with heavy demands placed on providing support across time-zones when necessary.

In addition, you will be responsible to support key business activities that enable the effective and efficient operation of the Market Services team.

What will you do?

Administration

  • Ensuring leaders have relevant information and are prepared for all meetings.
  • Calendar management; including supporting and organizing meetings (internal and external) either by video, audio or in-person, as well as industry and internal conferences & speaking engagements.
  • Prepare presentations, agendas and briefing notes for meetings, plus ensure catering requirements are arranged.
  • Travel, hotel and car arrangements and ensuring all details of travel are in calendar and agenda.
  • On monthly basis, process expenses for assigned executives ensuring all receipts are attached and balanced to statements.
  • Regularly review and manage corporate expenses and usage (e.g., expense report review, telephone usage reports) and ensure expense reimbursement is within the expense report guidelines and RBC policies.
  • Coordinate completion of deliverables by assigned executives and their teams as required (e.g., org charts, position mandates, performance reviews, presentations, spreadsheets, etc.).
  • Preparation of PowerPoint presentations (formatting, proofreading, printing and binding) and highly skilled manipulation of Word including org charts, image placements, formatting and other advanced features.
  • Execution of high-quality correspondence, document and reports, giving attention to detail (letters, briefing notes, call reports, annual business plans, etc.).
Relationship & Communication
  • Acts as an interface between Market Services and other RBC departments/teams and external clients
  • Manages stakeholder expectations respectfully to ensure Market Services needs are prioritized and met effectively
  • Liaise with key individuals on furniture, telecommunications, ergonomics and storage issues, and collaborate with team of EA\xe2\x80\x99s locally and globally
  • Works with executives on the administrative aspects of key projects, ESG committees and keeping an up-to-date list of action items and deadlines
General Office Management:
  • Processing invoices for all associated transits
  • Ensure office equipment, supplies and general overall needs are maintained and stocked.
  • Responsible for on-boarding new employees \xe2\x80\x93 transferring/ordering new PC\xe2\x80\x99s, business cards, telecom, system access, voicemail, and security access cards, etc.
  • Responsible for off-boarding when employees resign or when positions are terminated
  • Absence and Vacation Management on \xe2\x80\x9cManager\xe2\x80\x99s website\xe2\x80\x9d
  • Oversees mail/courier distribution and management
What do you need to succeed?

Must-have
  • At least 5 years\xe2\x80\x99 relevant work experience
  • Strong understanding of the cultural nuances of working across a Global team
  • Exceptional organizational skills
  • Strong verbal and written communication skills
  • Highly proficient ability to compose confidential letters, memorandums, and correspondence.
  • Ability to multi-task and prioritize, work independently, and contribute to a dynamic work environment with varied responsibilities under tight deadlines in a fast-paced environment.
  • Relies on experience and judgment to plan and accomplish goals.
  • Fully proficient with MS Office (Word, Excel, PowerPoint, Outlook) and adobe
