This is not your typical EA role and we are not looking for a typical EA candidate. The ideal candidate is highly organized and possesses a strong business acumen, ideally with a background in a sales environment, and is excited by the opportunity to work closely with a top tier business sales leader. We want a tough individual who is able to assert themselves to protect the CEO\'s time. While providing support to the CEO and his executive team, you are exposed to the full spectrum of Aurum business operations and activities and you are the soul that keeps the CEO moving forward. You anticipate the needs of the CEO and help him stay focused on his projects by resolving operational and administrative issues on his behalf before they arise. Since you understand the value of customer connections, you maintain and update a file of key clients\' interests and their projects. That knowledge is used to strategically support Aurum objectives. You are organized, analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people at all levels. The successful candidate will work closely with the executive team and will continuously be personally and professionally challenged through direct participation in business outcomes and proximity to decision-makers. The successful incumbent for this position will have the freedom to work in a creative and entrepreneurial manner. KEY DUTIES & RESPONSIBILITIES:

  • Complete a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex, detailed and changing travel plans, itineraries, and agendas, compiling documents for travel-related meetings
  • Plan and coordinate the CEO\'s and his executive team\'s schedule. Provide "gatekeeper" role, creating win-win solutions for direct access to the CEO\'s time and office
  • Provide a bridge for smooth communication between the CEO\'s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO apprised
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Propose appropriate course of action, referral, or response
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO\'s ability to effectively lead the company
  • Coordinate and arrange meetings-prepare agendas, reserve and prepare facilities, etc. Compile meeting materials, communicate with and prep attendees, take meeting notes and assist CEO with any follow-up action items
  • Draft letters and correspondence using own contact information
  • Manage office administration, e.g. copier contracts, utilities, office supplies
