The Customer Experience organization provides a common interface to customers including account and relationship management, acting as the voice of the customer internally and creating demand across our business groups. While bringing deep understanding of local markets for our customer, the CX organization ensures strong alignment between sales and delivery teams.
The Canadian CX organization is part of Nokia\xe2\x80\x99s North American Customer Experience organization. We are responsible for all of the local market customer engagements including sales, service and support of Nokia\xe2\x80\x99s entire product portfolio. CX leader also has a dual role as President of Nokia Canada (Country Senior Officer).


What you will learn and contribute to

This position of Executive Assistant reports to the President of Nokia Canada and will support both Canadian-related activities, as well as the senior members of the national CX leadership team. In addition to working with the CX leadership team and our amazing Canadian customers, you will also join us at an exciting time as we are opening a brand-new Nokia office in the heart of downtown Toronto office in Fall 2022. We are hoping you will play a critical role in making this new office a huge success.


As part of our team, you will:

  • Become a member of the Canadian CX leadership team that is focused on bringing world-class engagement to our Canadian customers
  • Be responsible for leading administrative; you will be supported by a network of experienced assistants within the North American Nokia team
  • Create and maintain e-mail lists/distribution lists
  • Assist with preparation of new hire/co-op requisitions
  • Manage inventory of office supplies and equipment
  • Process travel authorizations and approvals on behalf of your executive
  • Coordinate team building events, workshops, meetings, conferences including catering, vendors, presentation setup, video calls
  • Play a key role in the day-to-day coordination of our brand-new office in downtown Toronto
  • Efficiently manage calendars by tracking meeting commitments, prioritizing meetings and monitoring changes with overall responsibility on Executive Leaders\xe2\x80\x99 time allocation
  • Arrange and coordinate domestic and international business travel including air, hotels, ground transportation, visa/passport maintenance and related expense reporting and claims (SAP Concur Travel & Expense)
  • Assist in the purchasing process of our various customer and market-related commitments (i.e., creation of purchase orders, etc.)
  • Provide logistics and coordination support for both internal and external meetings
  • Engage with the EA (Executive Assistant) community within Canada on various country / market level activities (i.e., engaging with our R&D campus in Ottawa, HR teams for recruiting, and various government relations tasks)
  • Reside in the Greater Toronto Area and be willing to spend 3-4 days a week at our new office in downtown Toronto which is conveniently located within walking distance to Union Station (and with a great view of the lake!). Nokia does support a hybrid working model which helps with work/life balance and working from home is an option on days when activities allow


Your skills and experience

You must have:
  • At least 4 years of professional experience providing administrative support and familiarity with the types of software tools that are the tools of the trade (i.e., travel, HR, purchasing, Microsoft Office etc.)
  • Excellent interpersonal skills and confidence in engaging with executives both internal and external to our business.
  • Communications skills and personality are critical, and seeing that we serve a bilingual (English and French) set of customers, fluency would be a plus (but not mandatory)
  • Nokia offers a hybrid work environment. For this role we would like you to be based in the Greater Toronto Area and able to spend a significant portion of your time in our brand-new, downtown Toronto office. Nokia offers the flexibility of a hybrid work environment that would allow you to work from home on days where the activities allow.
  • Experience in travel arrangements \xe2\x80\x93 domestic and international \xe2\x80\x93 air, hotels, ground transportation, visa and passport requests
  • Experience working with scheduling, meeting arrangements, agenda management, handling sensitive and confidential information
  • Be proactive and self-motivated with an ability to take direction, strong work ethic
