Executive Assistant

Job Description

Kelly Services has partnered with a Mining company who is looking to hire a permanent Executive Assistant to support the CEO and executive team. This position will be completed as an in-office position with their offices located in the Financial District within the Downtown Toronto area. The successful candidate will report to the CEO and would be responsible for providing administrative and office support to enable the CEO and executive team to maximize the time focused on critical work.

Responsibilities include, but are not limited to:

  • Provide support to CEO and the executive team
  • Schedule and attend weekly meetings for the executive team
  • Gather and distribute documents in advance to team meetings
  • Draft meeting agenda and meeting minutes
  • Track meeting reports and follow up on action items
  • Plan and coordinate travel
  • Assist in monitoring project work for President and request project updates from team members
  • Prepare expense reports
  • Schedule meetings with internal and external stakeholders
  • Organize and schedule off-site meetings/visits for the executive team
  • Identify and implement process improvements for increased productivity and efficiency
  • Pick up and distribute mail
  • Order and monitor inventory of office supplies
  • Manage vendor relationships
  • Coordinate payment of vendor invoices
  • Assist corporate secretary in preparation of documents/materials ahead of board meetings
  • Distribute documents in advance of board meetings
  • Draft meeting minutes and follow up on post meeting action items of board meetings including attendance and fee tracking
  • Ad hoc administrative duties or errands as required
The ideal candidate for this role will have:
  • Must have a minimum of 5 years of experience supporting C-Suite level executives (CEO, CFO, COO etc.)
  • 10 + years of experience providing administrative support
  • Prior experience working in Diligent platform is an asset
  • Flexibility to work outside of regular business hours when required
  • Strong communication skills, both written and verbal
  • Strong organization and attention to detail skills
  • Advanced MS Office skills and the ability to handle sensitive documents with discretion are a must
  • Strong interpersonal skills and a great attitude, with the ability to work with all levels of staff are required in this position
