Description:

Reporting to the Director, University Relations, the Executive Assistant provides a high level of pro-active executive-level confidential administrative support to the Chief of Government Relations and direct reports, to ensure that the Office of Government Relations is managed proficiently and with the highest standards of excellence, confidentiality and professionalism.

The incumbent takes functional direction from the Chief and Directors and operates as the first point of contact and key administrative representative for the Government Relations Office. In a highly self-directed manner, this role provides support in the following ways: managing all aspects of the complex and intensive appointment schedule for the Chief and Directors; organizing the logistics for meetings with government officials; providing administrative support to the office; planning and organizing events and travel; drafting correspondence and related documents (e.g., memos, minutes, reports); maintaining a comprehensive calendar; and, working on special projects or briefing notes, as required.

The incumbent resolves issues and answers inquiries within established parameters and based on the understanding of the portfolios and priorities, ensuring the appropriate executive(s) are informed of pertinent issues. The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, resourcefulness, and a need to maintain confidentiality. The incumbent must present a professional image in the office by interacting knowledgeably and courteously with the many people who come into contact with the office including senior administrators, members of local, provincial, and federal governments, educational institutions, media, , faculty, staff, students, governors and alumni. The scope of this position is driven by the complex range of responsibilities undertaken by the Chief of Government Relations.

Qualificaitons Required:

I. EDUCATION:

College diploma or degree in business administration or related field or an equivalent combination of education and experience.

II. EXPERIENCE:

Four (4) years of experience in progressively responsible administrative roles including providing experience to senior executive and committees. Experience working in an academic environment is a strong asset.

III. SKILLS:

Proficient with standard office software programs including Word, PowerPoint, Excel spreadsheets and scheduling software.

IV. OTHER:

Excellent oral and written communication skills as well as interpersonal skills. Pro-active with the ability to identify and anticipate needs of others, and to manage competing priorities and meet deadlines. Meticulous organizational skills, demonstrated initiative and problem-solving orientation. Demonstrated flexibility and adaptability within a constantly changing environment. Must be able to deal with confidential information; demonstrated diplomacy, tact, judgement and discretion. Ability to work effectively and professionally, both independently and within a team environment.
