Job Summary What is the opportunity?In this role, you will provide administrative assistance / coordination for the Vice Presidents of the Health Care and Real Estate Markets teams in Southwestern Ontario by completing administrative duties including organizing and managing expenses, calendars and emails, scheduling and event management, and reporting. The EA is responsible for partnering effectively with their Vice Presidents to allow them to focus on effective sales leadership practices in the market. This role can be primarily remote, with occasional in-office requirements for team meetings, events, and other business needs.What will you do?Duties include but are not limited to:

  • Calendar management including prioritizing, scheduling, and managing conflicts.
  • Support to organize meetings, video and in-person meetings (book meeting location and equipment resources).
  • Set up and coordinate business planning sessions, staff meetings, management meetings, team meetings, and one-on-onexe2x80x99s with direct reports.
  • Process monthly expense reports and validate expense reports prior to RVP approval, as required.
  • Coordinate travel and hotel arrangements for the team, as needed.
  • Maintain team vacation schedule and up-to-date records for the VPs and their direct reports.
  • Organize communication sessions, employee recognition celebrations, and other team events.
  • Procure office supplies and user tech equipment for team, as needed.
  • Raise awareness among the team, extend invitations to key business partners, maintain effective knowledge of all relevant resources and services available within organization.
  • Proactively seek opportunities to provide additional value to ensure all established deadlines/commitments are met.
What do you need to succeed?Must-have
  • Executive administration or coordination experience, providing support to VP level or higher leaders.
  • Strong interpersonal and diplomacy skills and comfort in dealing with individuals across all levels of the organization.
  • Ability to thrive in a collaborative environment with a strong capability to prioritize activities.
  • Comfortable working in a fast-paced environment and dealing with change and continuously shifting requirements.
  • Able to work efficiently and accurately with minimal supervision.
  • Recognize and prioritize critical situations and act to resolve independently in a confidential manner.
  • Confidence to act decisively in the absence of the Vice Presidents.
  • Highly proficient in Outlook, Word, Power Point, and Excel.
  • Strong organizational skills including ability to organize, plan and schedule activities and strong calendar management/scheduling skills.
  • Expense management experience.
  • Prior Executive Assistant experience considered an asset.
Nice-to-have
  • Experience working in Commercial banking.
  • Solid knowledge of relevant RBC policies and procedures (e.g. vacation and absence management; expense guidelines; travel policy).
  • Professionalism, initiative, enthusiasm, energy, and a sense of urgency.
