Executive Assistant
to support our
Owners Rep.
in managing day-to-day administrative and operational tasks.
Position Overview
The Executive Assistant will work closely with the Owners Rep. of Construction to streamline administrative functions, manage communications, coordinate schedules, and ensure seamless operations. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced, dynamic environment.
This is a
remote
position, with occasional in-person meetings or site visits as required.
Key Responsibilities
Calendar & Scheduling Management
Organize and maintain the Owners Rep. calendar, including scheduling meetings, conference calls, and site visits.
Proactively resolve scheduling conflicts and ensure efficient time management.
Meeting Coordination & Minutes
Prepare agendas, coordinate logistics, and ensure all materials are ready ahead of meetings.
Attend meetings, take accurate minutes, and track action items to ensure timely follow-up.
Email & Communication Management
Monitor, prioritize, and manage the Owners Rep. email inbox.
Draft and respond to correspondence on behalf of the Owners Rep. as needed.
Project & Document Support
Assist with preparing reports, presentations, and documentation related to construction and development projects.
Maintain organized digital files and records for efficient project tracking.
General Administrative Support
Handle expense reports, travel arrangements, and other administrative duties as assigned.
Act as a liaison between the Owners Rep. and internal teams, external partners, and stakeholders.
Qualifications
3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role.
Experience in
real estate development
or
construction industry
preferred.
Proficiency with
Microsoft Office Suite
, Google Workspace, and scheduling tools (e.g., Outlook, Calendly, Zoom).
Exceptional written and verbal communication skills.
Strong organizational and time-management abilities with keen attention to detail.
Ability to handle confidential information with discretion.
Self-motivated and able to thrive in a
remote work environment
