The Executive Assistant to the CEO, Factoring Division will be responsible for supporting our CEO\xe2\x80\x99s day to day activities. The ideal candidate has a background supporting senior level executives in a corporate, legal or finance environment and will be highly perceptive, assertive, and responsible.

This role is a critical part of a global team, collaborating with leaders and support colleagues across North America and the UK.

The Role:

  • Effectively manage the schedule of the CEO which includes scheduling, foreseeing conflicts and follow through.
  • Review and summarize legal contracts, identifying key points and changes
  • Initiate development of agendas, presentation materials, meeting deliverables and follow-up items, including the generation of meeting notes and minutes as required.
  • Review incoming communications, identify appropriate action required, assign it as appropriate, and monitor the issues for appropriate follow-up
  • Streamline issues directed to the attention of the executive by taking ownership or directing to other members of leadership team as appropriate, keeping the executive informed on the process as required.
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary
  • Liaising in administrative capacity with investors, auditors, lawyers, tax advisers, bankers and shareholders as directed by the CEO
  • Coordinate logistics and following up of meetings, seminars, workshops, special projects, and events. When needed, participating directly in meetings, and following up with the relevant parties.
  • Arrange travel, hotel, and car reservations and prepare itinerary, both international and domestic to ensure time and cost effectiveness. Quick responsiveness to make travel adjustments regarding last minute changes needed
You Bring:
  • 5+ years of senior administrative experience, supporting a CEO, President, or Executive Team Member
  • University or College degree in Business or Administration
  • Legal experience, or supporting an executive in law firm an asset
  • Excellent written and verbal communication skills.
  • Tact, diplomacy, strong respect for privacy.
  • Love for working under pressure in a fast-paced office and meeting short deadlines.
  • Strong ability to work in an independent and self-directed manner
  • Superior organizational and time management skills and ability effectively prioritize work.
  • Experience managing and navigating through change, taking initiative to work through the unknown, and leveraging your skills to \xe2\x80\x98figure things out\xe2\x80\x99
  • Advanced written/verbal communication and diplomacy skills
  • Strong independent judgment and a high degree of interpersonal effectiveness to be able to deal with stakeholders across various levels both internally and externally
  • Strong scheduling and project management skills
