Executive Assistant to the CEO (30 hrs/week to start - Remote or Hybrid)

About the Role
We're hiring a long-term Executive Assistant to support our CEO. This is a business-only role (no personal tasks), starting at 30 hours per week with the intention to grow to 40 hours as we build trust and scale together. You'll help manage her calendar, inbox, internal accountability systems, and overall team follow-up. If you're proactive, detail-obsessed, and want to grow with a Canadian company in beauty/retail, this could be for you.
What You'll Do
- Manage calendar, schedule, and meeting coordination (internal and external)
- Organize and triage inbox (respond, flag, sort)
- Prepare agendas and take notes for weekly leadership meetings
- Follow up with team members on tasks and deadlines using To-Do or Monday.com
- Track KPIs and assist in building simple CEO dashboards
- Keep internal files and contracts organized and accessible
- Coordinate travel (domestic & international), itineraries, bookings
- Act as the CEO's right hand: protect her time and bring structure to ideas
What We're Looking For
- Experience supporting an executive or business owner (2+ years)
- Strong communicator -- clear, thoughtful, and efficient
- Highly organized and comfortable working independently
- Tech-savvy (Outlook, Excel, Microsoft To-Do, Monday.com, Google Drive, Teams/Zoom)
- Fluent in English and French
- Assertive but respectful: you get things done without drama
- Emotionally intelligent, loyal, and calm under pressure
