We are seeking a highly skilled and proactive Executive Assistant to support the President in managing a dynamic workload across multiple entities.
The Exciting Position:
The Executive Assistant (EA) will provide high-level administrative and operational support to the President, ensuring effective time management, seamless communication, and execution of strategic priorities. The EA will act as a trusted partner, handling sensitive information with discretion and representing the President with professionalism in all internal and external interactions.
Key Responsibilities
Administrative & Operational Support
Manage the President's complex calendar, schedule, and travel logistics.
Draft, edit, and prepare correspondence, presentations, reports, and investor materials.
Process expense reports and assist with budget and invoice tracking.
Maintain organized digital and physical filing systems.
Project & Strategic Support
Track deliverables, deadlines, and priorities across SharpLight, NLP Leasing, and ParentCo initiatives.
Assist with M&A, legal, and financing documentation as required.
Coordinate preparation for trade shows, board meetings, investor updates, and leadership sessions.
Provide research, briefings, and talking points for upcoming meetings.
Communication & Relationship Management
Serve as the first point of contact for internal and external stakeholders.
Manage and prioritize incoming correspondence, escalating urgent matters appropriately.
Liaise across departments (HR, Finance, Marketing, Operations) to ensure alignment and follow-through.
Represent the President with professionalism and confidentiality at all times.
Meeting Preparation & Follow-Up
Prepare agendas, briefing materials, and supporting documentation.
Ensure follow up, decisions and commitments are executed by responsible parties.
Qualifications
5+ years' experience supporting a senior executive, ideally in healthcare, technology, capital equipment, or B2B.
Exceptional organizational skills with the ability to manage multiple priorities under pressure.
Strong written and verbal communication skills; able to draft polished documents and correspondence.
High level of discretion and integrity in handling confidential information.
Proficiency in Microsoft 365, Teams, Outlook, Excel, PowerPoint; familiarity with CRM platforms an asset.
Articulate - speaks proficiently and professionally.
Proactive problem solver with strong initiative and the ability to anticipate needs.
