The Role:
This is a unique role where you will work in close collaboration with our Co-Founders, providing them with support and advice to help operate at a high level with efficiency and agility. The role will report to our Chief Executive Officer (\xe2\x80\x9cCEO\xe2\x80\x9d) and Co-Founder, and will involve providing support to our Chief Brand Officer (CBO), while also working across the Senior Leadership Team, broader organization, and with external stakeholders to achieve impactful results that align with our mission and culture. We are looking for someone who thrives in a fast-paced environment and doesn\xe2\x80\x99t mind working outside of their job description in support the best outcomes for the CEO and the business.


This role will involve being in the office 4 days per week. We are only accepting applications in Toronto or the Greater GTA.

Primary Responsibilities (If this looks enticing, click \xe2\x80\x9cApply\xe2\x80\x9d!)

  • Empower the CEO by optimizing workflow with calendar management, travel planning and group meeting management.
  • Act as a trusted partner and advisor to the CEO, with visibility into confidential and sensitive business and personal affairs.
  • Proactively manage the CEO and CBO\xe2\x80\x99s professional and personal calendars to ensure focus on the most impactful priorities, resolution of scheduling conflicts and maximizing efficiency.
  • Be the \xe2\x80\x9cgo-to\xe2\x80\x9d person for internal and external activities involving the CEO and CBO.
  • Draft appropriate internal and external correspondence on behalf of the CEO and CBO.
  • Act as an accessible liaison with team members and external parties, ensuring strong communication, and always maintaining a sense of professionalism and collaboration.
  • Assist with special projects, document preparation, presentation preparation, and manage follow-ups to ensure nothing gets missed.
  • Vetting materials for meetings, presentations, and communications to ensure alignment with CEO standards and expectations.
  • Support the CEO and People Operations in planning and facilitating town halls and other company meetings and events as required.
  • Keep abreast of the mood in the organization and provide advice to CEO on matters, actions, and potential solutions.
  • Plan and organize travel arrangements and itineraries for the CEO and CBO for Company events and activities, as needed.
  • Organize meetings, plan agendas, book rooms/set up virtual meetings, provide and prepare appropriate pre-meeting content, take meeting minutes, summarize actions, and follow up on task completions with appropriate stakeholders. Stand in for the CEO or CBO when needed.
  • Anticipate needs of the CEO, CBO and broader organization and act as a resource to help support critical business activities.
  • Support office administration, helping People Operations to manage the overall physical workspace.
  • Challenge the status quo by consistently identifying areas for improvement, diagnosing issues and working to resolve them.

What you bring to the table:

  • Post-secondary training in business administration or an equivalent combination of education and related experience
  • A minimum of 7 years of experience in a business administration support function
  • Strong technical skills and knowledge of MS Office
  • Excellent coordination, organizational, time-management and work prioritization skills
  • Attention to detail, resourceful, and accountability in follow-up
  • A proactive approach to problem-solving and the ability to work independently to make decisions.
  • The ability to communicate clearly, articulately, and succinctly in both oral and written form, with the ability to communicate to all levels within the organization
  • Flexibility, high tolerance for change and an ability to learn quickly
  • The ability to handle sensitive materials under the pressure of last-minute deadlines
  • The desire to be proactive and create a positive experience for others
  • A strong desire to learn all aspects of our business and industry at a high-level
