We are seeking an experienced, highly organized Executive Assistant to support our CEO and play a pivotal role in helping our leadership team stay focused, efficient, and prepared--especially during high-energy event seasons.
Job Summary:
This is a dynamic opportunity for a driven and proactive professional who thrives in fast-paced environments. As Executive Assistant to our CEO, you'll manage daily operations, provide high-level administrative support, and serve as a trusted partner in ensuring the business runs smoothly behind the scenes. Your ability to multitask, stay calm under pressure, and maintain impeccable attention to detail will be key to success in this role.
Key Responsibilities:
Manage the CEO's complex and shifting calendar, scheduling meetings, calls, and travel with accuracy and discretion
Coordinate logistics for client meetings, internal team sessions, and event planning milestones
Arrange staffing of entertainers, production and logistics for each of the CEO's events while considering budgets. Includes booking event production and coordinating logistics pre and post events.
Compiling & preparing pre-event run down sent to on-site staff
Draft and edit emails, communications, proposals, and event-related documents
Organize and maintain files, event budgets, records, contracts, and timelines with a focus on accuracy and efficiency
Anticipate the CEO's needs and proactively address potential scheduling or operational conflicts
Book and manage detailed travel arrangements including accommodations, flights, and transportation
Handle confidential information with the utmost integrity
Support special projects and provide research, reporting, and coordination support as needed
Qualifications:
2+ years of experience as an Executive Assistant, ideally supporting a CEO or C-suite executive
Previous experience in the events, hospitality, or creative industries is highly preferred
Outstanding organizational and time management skills
Strong verbal and written communication skills
Ability to work under pressure, problem solve, and manage competing priorities with grace
Strong initiative and ability to work independently
Proficiency in Microsoft Office, Google Workspace, Monday.com, Canva and scheduling or project management tools.
