Our leadership team is seeking a high-performing Executive Assistant to support the CEO in managing business operations, strategic initiatives, and daily priorities.
Position Summary:
We are seeking an experienced, highly organized, and proactive Executive Assistant to provide direct support to the CEO. This is a key administrative role that requires exceptional attention to detail, professional communication skills, and the ability to manage complex schedules and projects in a fast-paced healthcare environment.
Key Responsibilities:
Manage the CEO's calendar, scheduling meetings, prioritizing tasks, and coordinating logistics
Act as the primary point of contact for internal and external communications on behalf of the CEO
Prepare high-quality presentations, reports, correspondence, and meeting minutes
Organize and coordinate board meetings, strategic planning sessions, and team retreats
Track and follow up on key deadlines, business development initiatives, and grant submissions
Liaise with clinic managers, physicians, partners, and external stakeholders professionally and confidentially
Assist with special projects, research, and event planning
Maintain digital organization systems and ensure data confidentiality
Provide personal administrative support when required
Qualifications:
Can start ASAP
This is a hybrid work setup, and there will be occasions when you are asked to be present at particular clinic locations in Vancouver and Richmond.
Minimum 2 years of experience in an Executive Assistant or an administrative support role
Outstanding organizational, time management, and multitasking skills
Excellent written and verbal communication abilities
Strong proficiency in Google Workspace, Microsoft Office, and project management tools
Ability to handle confidential information with discretion
Proactive, self-motivated, and solution-oriented mindset
Experience in healthcare or supporting C-suite executives is a strong asset
Experience in social-media community engagement considered as a strong asset
