The Executive Assistant to the CEO is responsible for supporting the Chief Executive Officer across a broad range of administrative and management activities to ensure smooth day-to-day execution of the CEO functions. The EA will act as a primary point person to coordinate the CEO's schedule and tasks, as well as assist with general administrative day-to-day responsibilities including inbox management, preparation of draft memos and policies, record keeping, team communication, deadline management and prioritization, and other tasks essential to carrying out the CEO functions.

The successful applicant will have meticulous attention to detail and excellent organization skills, and enjoy working in a tightknit team environment that thrives on group success.

General Role & Responsibilities



Act as a point person to marshal commitments and requests of the CEO Apply critical thinking skills and take ownership of day-to-day challenges to solve problems quickly and efficiently Build internal and external relationships crucial to the success of the organization Provide general administrative support to the CEO including scheduling, organizing internal and external meetings, preparing meeting agendas, and various related materials Prepare or modify documents such as contracts, legal and banking documents, internal and external presentations, correspondence, reports, memos and emails Workflow management - first point of review for various administrative obligations such as reviewing statements of work, confidentiality agreements, invoices, purchase orders, etc. Provides a bridge for smooth communication between the CEO and internal departments, demonstrating leadership to maintain credibility, trust, and support with staff Handle sensitive information confidentially Development of reports and presentation material for wide ranging internal and external events and presentations Assist with travel arrangements and coordinate with internal teams to execute on internal and external events Purchase requisitions and good receipts management for the CEO General office administration and support All other duties as assigned

Travel:



ZeroKey often undertakes large team trips to key industry events globally, both for sales and marketing activities and internal team summits. The EA role has managerial oversight over the planning and execution of many of the particulars of these events. A valid passport and a willingness for moderate travel (1-3 events per year) is essential.

Experience and Education:



Minimum 1 year related administrative experience, with responsibility providing support to a senior executive University degree or equivalent experience Educational or work background in business administration and/or project management are definite assets Executive Office Administration Diploma is an asset

Required Skills and Knowledge:



Familiarity with AI tools, such as ChatGPT Excellent computer and software skills including Microsoft Teams, Microsoft Office (Outlook, Word, Excel, PowerPoint), and Windows Excellent organizational and time-management skills Ability to work independently, set priorities, manage multiple tasks and projects and meet deadlines Flexibility to adapt to changing priorities within a fast-paced environment. Focus on detailed execution, continuous improvement, and willingness to own outcomes. Willingness to be a "hands-on" member of the team Proven problem solver and decision maker Proven ability to communicate with both internal and external stakeholders Eligibility and willingness to travel moderately

Pay: $60,000.00-$85,000.00 per year
