As we continue to grow, we're looking for a driven, detail-oriented, and proactive
Executive Assistant
to work directly with our CEO. This is a dynamic role that touches every part of the business, from design operations to client communication, and plays a key part in keeping our projects and team moving forward.
What You'll Do
Manage and organize the CEO's
inbox and communications
, including drafting, prioritizing, and following up on emails.
Handle
client calls and inquiries
with professionalism, ensuring excellent communication and response time.
Coordinate schedules
, book meetings, and manage calendars for both internal teams and external partners.
Delegate and track tasks
across the team to keep projects on schedule and ensure deadlines are met.
Assist with
project coordination
helping organize files, follow up on deliverables, and keep things running smoothly.
Support
billing and collections
by monitoring payments and following up with clients when needed.
Help prepare
presentations, proposals, and meeting notes
for client and consultant meetings.
Anticipate needs, stay one step ahead of the CEO to ensure priorities are clear and the day runs efficiently.
Maintain confidentiality and handle sensitive company information with professionalism and discretion.
What We're Looking For
3+ years experience
as an Executive Assistant, Office Manager, or similar role.
Exceptionally organized with the ability to manage multiple projects and priorities.
Strong communication skills, professional, polished, and confident.
Comfortable working in a
fast-paced creative environment
where no two days are alike.
Tech-savvy experienced with
Google Workspace, Microsoft Office
, and project management tools (Asana, Trello, or similar).
Experience with
QuickBooks Online
or general invoicing/bookkeeping is a plus.
A genuine interest or background in
architecture, interior design, or construction
is an asset.

Pay: $35,000.00-$70,000.00 per year
