About the Role





Reporting directly to the Vice President, CSBT, the

Executive Assistant, Community Services Benefits Trust (CSBT)

plays a key role in ensuring the smooth and efficient operation of CSBT activities. This role provides high-level administrative and logistical support to the Vice President, CSBT; CSBT's Brand Ambassador and the CSBT Board of Trustees. You'll be central to coordinating board governance, events, travel, communications, and stakeholder relationships--helping elevate CSBT's impact and presence. This is a hybrid opportunity based in our

South Surrey, BC

office, with requirement to be in office 2 days a week.




What to Expect in your first 3 months




Within the first 30 days you will:


Gain a strong understanding of GroupHEALTH & CSBT's mission, vision, and values Complete corporate onboarding, including Privacy and Security training Learn the Executive Assistant Standard Operating Procedures (SOPs) Become proficient with videoconferencing, teleconferencing, and boardroom technology Participate in an in-depth CSBT orientation to understand all internal and external program components Successfully support the Vice President, CSBT in planning and executing the first CSBT board meeting/retreat of 2026 Begin connecting with key external stakeholders Start building relationships with all current CSBT Trustees Contribute to early planning for CSBT's Spring 2026 tradeshow and event season
Within the first 60 days you will:


Complete the first two IFEBP CEBS e-learning modules to build foundational knowledge of the Group Benefits sector Complete online governance training and register for the official board minute-taking program Learn and execute all staff travel processes and procedures Begin overseeing the coordination and scheduling of annual events





What You'll Do




Coordinate all aspects of CSBT Board Meetings and Annual Retreats, including venue preparation, attendee logistics, agenda creation, document packages, travel arrangements, and attending meetings as the designated minute-taker Build and maintain strong relationships with external association partners Coordinate all aspects of CSBT's participation at conferences and tradeshows. Support the Vice President, CSBT with coordinating and/ or preparing the necessary information, materials, presentations, reports and resources for meetings and events as required. Support the CSBT Board of Trustees with any inquiries related to their travel, IT requirements (in coordination with GroupHEALTH's IT dept.), and Trustee expenses. Support the Vice President, CSBT in sourcing and vetting CSBT prospects via GroupHEALTH internal systems and external stakeholder resources. Monitor and triage CSBT administrative inboxes Manage CSBT social media accounts, collaborating with leadership and the GroupHEALTH Marketing team on content Review and delegate requests, summarizing, and communicating information to appropriate stakeholders Oversee CSBT's SharePoint site and manage document organization Administer IFEBP memberships and education initiatives for the CSBT Board of Trustees Support a range of additional duties as assigned, including gift procurement, executive meal arrangements, and hosting guest visits



What We're Looking For




2+ years' experience providing high level administrative support to executives Comfortable working across multi-functional teams in a complex environment Intermediate to advanced knowledge/experience with MS Office 365 (Outlook, SharePoint, Teams, Planner, Excel, Word, PowerPoint) Post-secondary education relating to Business Administration, Business Management, Marketing and/or Communications considered an asset Experience working within the non-profit sector and/or financial services industries an asset Valid drivers license and access to a reliable vehicle

Compensation





At the time of this posting, the estimated annual base salary for this position is $70,000-$75,000. Individual compensation within this range is determined by factors such as job-related skills, relevant experience, and education/training. This range reflects the annual base salary only and does not encompass the comprehensive total rewards package that we proudly offer.
