Executive Assistant The Southwest New Brunswick Service Commission has recently expanded its service offering as a result of New Brunswick\xe2\x80\x99s local governance reform, and as such we are currently seeking qualified applicants for the role of Executive Assistant with, located primarily at our St. Stephen office. Reporting to, and under the direction of the CEO, the primary purpose of the position is to provide administrative support to the Senior Leadership Team, including executive level support, communications support and special projects. SPECIFIC ACCOUNTABILITIES: The specific accountabilities of the position require the Executive Assistant to:
Under the direction of the CEO, provide executive level administrative support and work closely with the Senior Leadership Team.
Coordinate, prepare reports, and record minutes for regularly scheduled meetings of the Board of Directors and its Committees.
Support the communications activities of the organization by preparing relevant announcements, documents, social media posts and website updates.
Generate and disseminate marketing materials, internal and external communications.
Lead and/or participate in the coordination of special events.
Maintain up-to-date knowledge of the full suite of Microsoft Office Products, social media platforms and other software.
Implement and maintain filing and database systems.
Act as the main point of contact for senior leadership between external colleagues and stakeholders, which includes support for organizing and booking meeting.
Maintain current knowledge of administrative best practices.
POSITION QUALIFICATIONS:
High school graduation supplemented by a professional Business Diploma, leadership training or equivalent combination of education and experience
Excellent interpersonal / communication skills
Well-developed organizational skills
Excellent time management skills
High level of professional discretion
Demonstrated proficiency in respect to the use of the Microsoft Office products and social media platforms
Technical proficiency with I.T. systems including video conferencing
Graphic design experience would be considered an asset
Ability to work independently demonstrating a high degree of self-motivation
Capable of prioritizing / completing multiple tasks simultaneously
Demonstrated exemplary character
Ability to work with confidential information
Ability to take initiative and problem solve
Strong attention to detail and accuracy
Driver\xe2\x80\x99s license with clean abstract
French functionality an asset
