Connections for Seniors is a non-profit charity dedicated to supporting older adults (55+) who are experiencing or at risk of homelessness. We provide wraparound services that promote dignity, stability, and well-being -- including supportive and emergency housing, case management, transportation, and food security. Position Overview
The
Executive Assistant
plays a critical role in supporting the CEO and senior leadership team in the effective management of daily operations. This position requires exceptional organization, discretion, and multitasking skills in a fast-paced, mission-driven environment. The ideal candidate is proactive, detail-oriented, and thrives on keeping projects, people, and priorities aligned while embodying the positive and collaborative culture of Connections for Seniors.
Key Responsibilities
Executive Support:
Provide high-level administrative assistance to the CEO, including scheduling, email management, meeting coordination, and travel arrangements.
Prepare correspondence, reports, presentations, and other documents as needed.
Manage and maintain confidential files and records.
Board & Leadership Support:
Assist with board meeting preparation, including data collection and Programs reports.
Coordinate communication between board members, stakeholders, and leadership.
Operational & Administrative Coordination:
Support daily office operations, including supplies management, vendor coordination, and technology troubleshooting
Track and manage key organizational deadlines, reports, and follow-ups.
Assist with grant and funding documentation, donor communications, and reporting as needed.
Event & Program Support:
Assist with logistics for organizational events, fundraisers, and community programs.
Support communication and outreach initiatives that promote Connections for Seniors' mission and services.
Team Collaboration:
Foster a positive, solutions-oriented work environment through proactive communication and teamwork.
Anticipate needs and contribute to organizational efficiency by improving administrative systems and workflows.
Qualifications
Minimum 3-5 years of experience in executive or administrative support, preferably in a non-profit or community-based setting.
Exceptional organizational and time management skills, with the ability to handle multiple priorities under tight deadlines.
Strong written and verbal communication skills with keen attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with project management or CRM tools.
Ability to maintain confidentiality, discretion, and professionalism in all interactions.
Demonstrated ability to work both independently and collaboratively in a team environment.
Passion for the mission of Connections for Seniors and sensitivity to the needs of older adults experiencing homelessness.
