Executive Assistant to the Executive Director and Leadership Team
Start Me Up Niagara is a Not-For-Profit Organization that provides services to vulnerable and marginalized populations in the Niagara Region. We are seeking a highly organized and proactive Executive Assistant to support our Executive Director and leadership team. This part-time role (3+ days per week for up to 24 hours) is ideal for a professional who thrives in a dynamic nonprofit environment. The Executive Assistant will play a key role in ensuring smooth administrative operations, supporting grant activities, managing property repair requests and facilitating effective communication across the organization and particularly with the leadership team.
Employment Type:
Part-Time (three (3) days per week, up to 24 hours). Pay Range $20 - 22$/hr. The position will be on a six (6) month contract, with the possibility of an extension.
Key Responsibilities
Manage calendar, meeting logistics and office supply ordering and tracking
Prepare/Draft correspondence, reports, presentations, meeting minutes/agendas and materials as required
Handle confidential information with discretion and professionalism.
Assist with bank deposits.
Maintain organized filing systems (digital and physical).
Manage property contractors, workorders and vendor relationships.
Assist with event planning and coordination for internal and external functions.
Assist with grant tracking, reporting deadlines, and submission logistics
Assist with financial submissions and bank deposits
Support the preparation of grant proposals, including gathering documentation and formatting.
Maintain a calendar/spreadsheet of grant cycles and reporting requirements.
Collaborate with program staff to collect data and success stories for grant reports.
Qualifications
:
2+ years of experience in administrative support, experience in a nonprofit or government setting or support to executive leaders or a Board is an asset
Strong organizational and time management skills.
Excellent written and verbal communication abilities with a high degree of Political acuity required.
Proficiency in Microsoft Office, Google Workspace, and basic database tools.
Experience with grant writing or any reporting is a strong asset.
Ability to work independently and collaboratively in a small team environment.
Ability to anticipate needs and challenges before they arise, and take initiatives to find solutions without close supervision
