Executive Assistant / Operations & Marketing Coordinator.



About the Role



We're a rapidly growing marine company looking for an EA who is

part operator, part marketer, part creator, part business brain.

This is NOT a traditional assistant role. You will have a direct impact on revenue, efficiency, and customer experience.

You will work closely with the owners to streamline operations, manage communication, support marketing campaigns, organize the CRM, keep sales moving, and ensure nothing slips through the cracks.

Core Responsibilities1. Executive & Administrative Support



Manage and organize company inboxes Filter communication and respond on the owners' behalf when appropriate Schedule, manage, and protect the owners' calendars Prepare leadership & operations weekly meeting agendas Book travel, ferries, accommodations for crews Manage digital files, photos, receipts, and company documentation Coordinate with the internal teams

2. Operations & Project Coordination



Track company projects and deadlines Keep CRM data clean, accurate, and updated Maintain company calendar and job scheduling systems Prepare reports, documentation, and SOPs Support technicians with scheduling, parts shipping, and communication Ensure customer communications are timely, professional, and accurate

3. Light Financial Coordination



Upload receipts into QBO correctly Assist with preparing data for budgeting and cash flow planning Support inventory tracking and reporting Support with Accounts Payable/Receivable

4. Marketing & Content Support



Manage social media posting, YouTube Shorts, and basic content formatting Assist with ad creatives, email campaigns, and copy refinements Help run and update marketing campaigns (Meta & Google) Support the creation of guides, landing pages, and customer funnels Assist with organizing marketing assets and improving online presence

5. Sales & CRM Support



Maintain and optimize CRM organization Sales Pipeline Support lead nurture workflows Follow up with warm leads assigned to you Support quote preparation and customer communication

Qualifications Required:



Strong organizational and communication skills Tech-savvy and comfortable learning new platforms Ability to write professionally and clearly Ability to self-manage with minimal supervision Exceptional problem-solving skills High discretion and confidentiality

Bonus (but highly valued):



Experience in content creation (Canva, Reels, short-form video) Experience in admin, operations, marketing, OR finance -- preferably a blend Experience with CRM platforms Experience with QuickBooks Experience with digital marketing tools (Meta Ads, Google Ads, email marketing) Experience in a trades, construction, or operations-heavy company

Job Type: Full-time

Pay: $40,000.00-$65,000.00 per year
