Role Overview:



The

Executive Assistant

is a key administrative role within the Virtual Health Hub (VHH), responsible for providing high-level support to ensure the efficient coordination of meetings, calendars, visitors, travel, and daily operations. This position serves as a primary point of contact for internal and external stakeholders, fostering strong relationships and facilitating seamless communication. With a strong focus on cultural awareness, organization, and relationship management, the Executive Assistant plays an essential role in supporting the VHH's mission.

Key responsibilities:



Administrative Coordination


Oversee daily administrative functions including calendar management, office organization, and general workflow processes. Coordinate with internal teams and external partners to ensure the smooth operation of the Hub. Integrate culturally respectful and community-centered practices into administrative routines. Monitor office supplies and equipment inventory, placing orders as needed to ensure essential materials are available and the workspace remains well-stocked and functional.

Meeting & Visitor Management


Schedule and organize meetings, including preparing agendas, recording minutes, arranging catering, managing follow-ups, and coordinating travel logistics. Welcome and support visitors.

Detailed Travel Planning


Book and coordinate all travel arrangements including flights, accommodations, ground transportation, and itinerary preparation for the Executive team, and other team members as needed.

Document & Communication Support


Draft, edit, and format correspondence, reports, presentations, and briefing materials. Prepare internal communications such as memos, updates, and newsletters on behalf of the executive office.

Information & Records Management


Maintain organized and confidential digital and physical filing systems. Track and manage shared VHH calendars, contacts, and documentation, ensuring alignment with organizational protocols and privacy standards.

Expense Tracking & Financial Admin


Submit expense reports, verify invoices related to travel, meetings, and projects for the Executive team.

Event & Project Coordination


Support the planning and execution of events, workshops, and special projects. Handle logistics, coordinate timelines, and assist in tracking deliverables and outcomes.

Stakeholder & Relationship Management


Foster respectful and collaborative relationships with Indigenous communities, healthcare partners, government representatives and other stakeholders. Support communication flow across teams and stakeholders.

Education and Qualifications:



Minimum 3 years experience as an Executive Assistant.

Bachelor's degree in Business Administration or a related field, or a Medical Office Assistant diploma with relevant experience.

Equivalent education and experience in a similar administrative or coordination role will also be considered.

Experience working in healthcare, Indigenous communities, or academic settings is considered an asset.

Strong organizational, communication, and interpersonal skills are essential.
