As a valued member of Brandt\'s Real Estate team, the Executive Assistant will report directly to the VP of Real Estate. This role is located in Regina, Saskatchewan.Duties and Responsibilities

  • Prepare correspondence and reporting for senior management real estate approval meetings, PowerPoint presentations, agendas.
  • Coordinate communication and interfacing with external and internal guests on behalf of the VP of Real Estate, including receiving calls, responding to emails, and anticipating needs of the department.
  • Strong computer research skills with the ability to work discreetly conducting real estate investigative work.
  • Highly skilled analyzing information for development of department processes and procedures, defining problems and goals, formulating logical and objective conclusions, recognizing alternatives, recommending solutions. Familiarity working with a RACI Matrix would be beneficial.
  • Ability to establish rapport and good working relationships with staff and vendors, have a high degree of self-awareness and the needs of others.
  • Type, edit, and proofread documents including PowerPoint presentations, Excel reports, Word documents, and emails intended for Executive review.
  • Oversight of calendar management and the successful coordination of business meetings.
  • Demonstrated skill in creating and maintaining department budgets.
  • Coordinate and assist with business travel arrangements for Real Estate Management including planning and scheduling, booking tickets, hotel reservations and local transportation arrangements.
  • Expense reporting for the VP of Real Estate and Real Estate Manager.
  • Work cohesively with other executive assistant teams to support the greater goals of the organization.
  • Demonstrated ability to exercise independent and sound judgement, and to handle sensitive and confidential information with discretion.
  • Ability to remain calm and professional in high pressure, fast-paced environment.
  • Ability to quickly prioritize, adapt to changing priorities, handle multiple tasks simultaneously, and efficiently, and meet competing demands for information and services with a high attention to detail.
  • Self-motivated individual, with a positive mental attitude that enjoys working independently but primarily as part of a team.
  • Other Duties as assigned.

Required Experience
  • Office Education certificate or relevant experience.
  • A university degree or college diploma in business, or administration is considered an asset.
  • Proven work experience as an Executive Assistant or similar role.
  • Minimum of 2 years experience in Executive Services.
  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint)
