About the Role:
We are currently seeking a highly organized and motivated Executive Assistant to support our leadership team. This is a great opportunity for someone who is proactive, detail-oriented, and thrives in a fast-paced environment. The ideal candidate will be confident managing work orders, estimates, communications, and scheduling, while ensuring the executive team stays on track and well-informed. Key Responsibilities:
Manage executives' calendars, appointments, and travel plans with accuracy
Prepare, review, and track work orders, quotes, and estimates
Assist with project coordination and administrative follow-ups
Maintain accurate and organized filing systems (digital and paper)
Draft, edit, and proofread correspondence, reports, and presentations
Ensure effective communication between departments, clients, and external partners
Provide strong time management support by prioritizing tasks and meeting deadlines
Take initiative to resolve problems, streamline processes, and anticipate needs
Handle confidential and sensitive information with a high degree of professionalism
Monitor and order office supplies, and assist with expense tracking and reporting
Qualifications:
Proven experience as an Executive Assistant or in a high-level administrative role
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new tools
Experience with preparing estimates, managing work orders, and assisting with basic project administration is an asset.
Strong organizational and time management skills with the ability to multitask effectively
Responsible, reliable, and able to work independently with minimal supervision
Not afraid to take ownership of tasks or speak up when clarification is needed
Excellent interpersonal, verbal, and written communication skills
Ability to thrive in a fast-paced environment and adapt to changing priorities
A diploma or relevant experience in business administration or a related field is an asset.
Work Conditions:
Full-time position, Monday to Friday
May require occasional overtime or flexibility depending on executive needs
Primarily office-based
