Job Description


As an Executive Assistant to our Chief Commercial Officer (CCO) and Chief Strategy Officer (CSO), you will be responsible for ensuring their days go as smoothly as possible, and for the right candidate, supporting them in ways that extend beyond calendar management and coordination of travel. As such, we are open to exploring the candidacy of both experienced Executive Assistants, as well as more non-traditional applicants (e.g., recent university or MBA graduates) who are open to utilizing the role as a stepping-stone into any number of functions within the organization.

What You Will Do
  • Organization and Planning
  • Manage and coordinate the CCO\'s and CSO\'s calendars and meetings;
  • Schedule and coordinate customer visits, strategic off-sites, conferences, etc. and ensure that all pertinent information (invitations, agendas, security requirements, etc.) is disseminated in advance to all participants;
  • Coordinate all venue and travel related aspects associated with these events (e.g., flights, transfers, accommodations, dining, etc.); and
  • Complete and submit associated expense reports in a timely manner.
  • Documentation and Presentations
  • Capture/document meeting notes and follow-up on action items with action item owners, supporting them as needed (e.g., collect data, schedule follow-ups, etc.) and working with the CCO and/or CSO to help remove any roadblocks;
  • Monitor, track, and provide status updates on various activities (e.g., strategic initiatives, internal and customer projects, etc.); and
  • Develop, edit, and maintain presentations based on CCO and/or CSO provided frameworks and content.
  • Relationship Management
  • Develop and maintain relationships with internal stakeholders, select customer point of contacts, potential partners; and
  • Support the development of agreements (liaising with Legal) and provide CCO and/or CSO with status and progress reports.
  • Research and Investigation
  • Liaise with various internal departments (Business Development, Marketing, etc.) and support the collection and analysis of market and competitor information that is folded into strategic/sales pursuit initiatives; and
  • Various other duties and responsibilities.
Qualifications

Knowledge and Experience
  • 3+ years of experience as an Executive Assistant OR a relevant post-secondary degree (Business/Marketing/Finance/Law/STEM) or MBA
Skills and Abilities
  • Proficiency with MS 365 suite of applications (Outlook, Word, PowerPoint, Excel, SharePoint, etc.)
  • Unimpeachable code of ethics
  • Exceptional interpersonal skills (tact and diplomacy)
  • Excellent communication skills (verbal and written)
  • Excellent organization/time management/prioritization skills
  • Well-developed problem solving skills

Mandatory Requirements
  • Ability to obtain and maintain Government of Canada Secret (Level II) clearance.
