ABOUT US RealEstateTaxTips.ca is Canada\xe2\x80\x99s Chartered Professional Accounting (CPA) firm serving Real Estate Investors, Real Estate Agents, Land Developers, Contractors and Builders. We are a family-oriented team that work closely together through online tools like QuickBooks Online, Practice Ignition, PayPal, Hubdoc, Karbon, and many more platforms. We are a customer service firm first and an accounting firm second. We do not believe in billing by the hour (or even tracking them) and expect that everyone will contribute to providing value to our clients. ABOUT THE ROLE As a full-time Administrative Assistant, you will be an essential part of our team by ensuring administrative support to our executives is streamlined. This role is perfect for someone with advanced computer and phone skills, but who also likes to get out from behind the desk sometimes and get out in the world and meet new people The role is not specified to one specific task or set responsibilities. They will change as the role evolves and you should have an open mind to change and grow with your role and the company. The office is based in Oakville, ON and this opportunity is in office based.   • AR follow ups
  • Tasks related to property management \xe2\x80\x93 ie. Managing tenants\xe2\x80\x99 requests, responding to tenant requests, coordinating trades for repairs, reconciling rents, ordering supplies
  • Process payroll bi-weekly, vacation tracking, payroll support
  • HR support, hiring, onboarding and offboarding
  • Liase with our offsite IT support for any in-office troubleshooting
  • Email management, including preparing correspondence
  • Calendar management and appointment setting
  • Meetings and events management
  • Tidying meeting spaces and shared office spaces
  • Events research and planning
  • Travel planning and booking, personal and professional
  • Administrative projects, personal and professional
  • Running errands, personal and professional
  • Research projects
  • Basic bookkeeping, process payable via Plooto
  • Reception duties, organize Friday lunches, Christmas and Summer party for the team
  • Order office supplies and research new deals and suppliers
  • Write and distribute email, correspondence memos, letters, and forms
  • Liaise with executive to handle requests and queries from senior managers
ABOUT THE SKILLS
  • Time management and multi-tasking \xe2\x80\x93 excellent at prioritizing and not easily overwhelmed
  • Computer/Software/Technology literate (MS Office, Google Suite, Quickbooks online, Plooto, Wagepoint Processing), and quick at learning new programs
  • Excellent communication skills, in person, over the phone, and over email/chats
  • Adaptable to different environments and situations
  • Self-starter and good independent worker
  • Methodical; ability to plan and organize with strong attention to detail
  • Eager to learn new skills and take on new tasks
  • Personable and confident
