Job Description


A large publicly traded and well branded client is seeking a talented, detail-oriented individual with substantial experience and a positive attitude for a challenging role. The successful candidate will thrive in a fast-paced environment, demonstrating the ability to manage multiple priorities with finesse, discretion, and confidence. Preference will be given to applicants with a background in financial services, including banking, insurance, or auditing. This exciting role will be fully in-office working and a positive and dynamic environment.

Key Responsibilities:

  • Provide executive-level support and cultivate effective working relationships within the organization
  • Plan and prioritize various meetings, including quarterly board meetings
  • Coordinate travel arrangements for multiple associates and events
  • Prepare presentation materials and organize conference calls
  • Manage venues, materials, and catering needs for corporate meetings and events
  • Prioritize and handle incoming/outgoing calls, requests, and correspondence
  • Draft, review, and communicate information on behalf of the Board of Directors and other executives
  • Handle incoming/outgoing mail and email, prioritizing items as needed
  • Perform administrative tasks proficiently using Microsoft Word, Excel, PowerPoint, and Outlook
  • Maintain confidential executive files
  • Assist with financial reports and CRA year-end filing
  • Handle expense tracking and invoice management
  • Possess knowledge of CRA filing and year-end financial reporting
  • Manage and assist with various ad-hoc projects as assigned
The ideal candidate will have a minimum of 5 years of experience in an Executive Assistant role, demonstrating a collaborative work style, flexibility, strong organizational skills, and the ability to prioritize multiple projects within tight timelines. This role requires a resourceful, innovative, and proactive individual with excellent people skills, outstanding communication abilities, sound judgment, integrity, and leadership qualities.
