Have you supported executive-level leaders through email management, time records, research, expense reports, travel arrangements and other special projects? If you enjoy this work and would like to interact with internal and external executive leaders daily and have a serious eye for the details, this may be the role for you!
This role will support Aon Canada\xe2\x80\x99s President, providing professional, sophisticated, and confidential support. Our Canadian President is responsible of all Aon\xe2\x80\x99s solution lines.
The role will be based out of the Montreal office and the selected candidate will be required to be present (in the office most days) with flexible work arrangements.

What the day will look like
This role has several responsibilities, including the preparation and production of presentations and correspondence and related materials, including editing for grammar, punctuation, and phrasing. We will guide you on how to coordinate complex meeting logistics on or off-site, which may include budgeting, travel, room reservations, meeting room logistics and materials, and catering. A few other examples of duties:
  • Actively participate in leadership meetings for follow-ups and note taking
  • Submit printing requests for meetings and other needs and ensure accuracy of printed materials before distribution
  • Coordinate projects and work independently
  • Maintain/update/organize categories and data within databases, OneNote or SharePoint
  • Be visible to senior leaders by attending business town halls
  • Provide back-up assistance to fellow administrative assistants when needed

Skills and experience that will lead to success
  • A minimum of 10 years of experience as an administrative assistant supporting senior leaders, with an excellent level digital literacy in Microsoft tools such as: Power Point, Excel, Word, Notes, Teams etc.
  • College, or Associate degree is required, bachelor\xe2\x80\x99s degree is an asset
  • Ability to compose materials from rough notes or independent knowledge of circumstances
  • Attaining an expert-level knowledge of our Aon brand identity and completing Brand Ambassador certification
  • The ability to act as liaison between the executive and their colleagues, clients, and other collaborators
  • Strong organizational and management skills, modeling professional appearance and demeanor in a business environment; dress for the situation
  • Ability to effectively interact with clients & team members, always maintaining professionalism with an ability to work in a high-paced, demanding environment
  • Self-directed prioritization of work and projects; demonstrate measurable progress through open communication to leaders and team members consistently and with the highest quality
  • A wide degree of creativity and latitude is expected
  • Self-motivated, standout colleague who works independently under minimal supervision
  • Excellent customer service skills and outstanding attention to detail
  • Perfectly bilingual, with superior communication skills (grammar, punctuation, spelling, and proofreading) both verbal and written
  • Suggests approaches for resolving problems
  • Maintains a high level of confidentiality
