Job Description

EBT is seeking a highly organized and proactive Executive Assistant to support our leadership team. This role is ideal for someone who thrives in a fast?paced professional services environment, anticipates needs before they arise, and brings exceptional attention to detail. The Executive Assistant will manage calendars, coordinate client communications, prepare documentation, support project workflows, and ensure our principals are equipped to deliver outstanding service. Key Responsibilities:



Provide comprehensive administrative support to assigned principal, including calendar management, travel coordination, and meeting scheduling. Serve as a primary point of contact for their clients and to internal staff, ensuring timely and professional communication. Prepare, edit, and proofread correspondence, reports, presentations, and other documents. Monitor and manage critical deadlines for client filings, coordinating with staff to ensure timely submission of required documentation. Support billing activities by preparing and issuing invoices and maintaining accurate client file records. Organize and coordinate internal and external events, including client meetings and training sessions. Maintain and organize confidential files, documentation, and firm records to ensure efficient retrieval and compliance. Conduct research and gather information for principal-led projects, presentations, and strategic initiatives. Prepare reports, dashboards, and analytical summaries to support principal and team decision-making. Utilize firm-specific software and tools for project management, document collaboration, and communication. Provide tailored executive support, including handling confidential information and facilitating principal communications and priorities.

Qualifications:



Diploma in Administration, Business, or related field is preferred. Minimum four (4) years of experience as an Administrative Assistant. Minimum two (2) year of experience as an Executive Assistant. Experience in a public accounting firm is considered an asset. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with accounting software.
Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
Excellent written and verbal communication skills.
Ability to handle sensitive information with confidentiality and discretion.
Problem-solving skills with a proactive approach to identifying and addressing issues.
High level of attention to detail and accuracy.

Pay: $25.00-$30.00 per hour

Expected hours: No less than 35 per week
