The Executive Assistant will provide high quality administrative support to members of our Insurance Solutions senior leadership team across different geographies. In this role, you will perform advanced, diversified, and complex administrative duties. The ideal candidate is highly self-motivated, professional, and capable of working independently with minimal direction to make decisions within the scope of accountability while keeping leaders informed.

This role is hybrid and aligned to our London Head Office location.



What you will do



Coordinating and prioritizing daily schedules, independently follow-up on action items, coordinate travel arrangements using SAP Concur and expense reports, maintaining files, and prepare correspondence and other presentation materials Ability to preserve confidentiality and demonstrate sound judgment regarding sensitive matters Able to determine priorities while dealing with conflicting deadlines in a fast-paced environment Evaluate and revise priorities & schedules when unexpected situations arise, using initiative, independent judgment and tact Coordinate and manage special projects, assignments and other duties as required Assist with day-to-day logistics to make sure that the executives you support are in the right place at the right time, but you'll take a common sense approach and ensure that they get a work-life balance too (breathing space is useful throughout the day) Preparing reports, presentations, and handouts for meetings and other events as required Collaborate with other Executive Assistants to help coordinate across executive teams Support the planning and organization of team events and attending team meetings, including celebrations, activities around holiday season, and recognizing the achievements of our team members, organizing and managing department activities General office duties including supplies and equipment maintenance for the Executives and the general executive offices

What you will bring



Post-secondary education, or a combination of education and work experience Minimum 5 years' administrative support experience in a business or financial services organization Excellent decision-making, analytical and problem-solving skills Demonstrated customer service mindset Ability to build and manage trusting relationships with all business partners Excellent interpersonal and communication skills, both written and verbal to interact with a wide variety of individuals Demonstrated strong organizational capabilities with the ability to handle multiple priorities and fluctuating workloads, while adhering to strict deadlines Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information Demonstrated business judgment, flexibility, initiative, creativity with a positive professional attitude and image Self-starter with the ability to work independently, as well as part of a team Strong Microsoft Office/Office 365 Skills (Outlook, Excel, Word, PowerPoint, OneNote, SharePoint)
