Executive Assistant

Laval, QC

We have partnered with an up-and-coming tech start-up that is transforming the influencer marketing industry through the development of AI-driven technology. While working with some of the top brands in the gaming world, they are on a mission to develop innovative, data-driven solutions that are disrupting the industry. We have assisted them in their search for an Executive Assistant to work closely with the CEO and Director of Finance.

The role:

  • Manage the CEO\'s calendar, prioritize appointments, and coordinate meetings, both internal and external.
  • Along with the Director of Finance, ensure accurate and up-to-date record keeping in all financial and billing activities.
  • Create and maintain accurate mileage records for company accounting and financial and expense records for any business-related expenses.
  • Screen and handle incoming calls, emails, and correspondence, directing them
appropriately and ensuring timely responses.
  • Assist in the preparation of reports, presentations, and other documents on behalf of the CEO.
  • Maintain confidentiality and handle sensitive information with discretion and
professionalism.
  • Participation in team meetings, takes and distributes minutes, assists in setting
agendas and strategies.
  • Arrange travel logistics, including booking flights, accommodations, and ground transportation for the company\'s business trips.
  • Perform general administrative tasks such as filing, document management, and record keeping.
  • Assist with project management tasks, tracking deadlines, and coordinating activities across different departments.
  • Help in organizing special events and corporate functions as directed by the CEO.
  • Foster positive relationships with internal and external stakeholders, representing the CEO and the company with professionalism and tact.
Requirements:
  • Previous experience or education in administration or as an Executive Assistant.
  • Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • High level of discretion, integrity, and professionalism.
  • Strong communication and interpersonal skills
  • Familiarity with travel coordination and logistics.
  • Familiarity with accounting and bookkeeping.
  • Ability to work closely with an executive team and board
  • Ability to work independently and prioritize tasks effectively
  • Exposure to Microsoft Suite, QuickBooks, project management tools, CRM
  • A positive attitude and the ability to adapt to changing priorities.
  • Bachelor\'s degree or equivalent experience is preferred.
