POSITION PURPOSE SUMMARY:
Reporting to the Corps Officer, the Executive Assistant performs a range of secretarial and administrative duties in a supporting role to the Corps Officers, and coordinates ongoing administrative and business processes.
ACCOUNTABILITIES:Coordinates daily office activities for Corps Officers. Attends meetings on behalf of Corps Officers, when assigned. Performs a variety of confidential administrative and secretarial support functions for the Corps Officers, Mission Council and Pastoral Care Council. Uses a variety of software applications to produce reports, maintain databases, develop presentation materials (e.g., power point presentations). Creates and maintains electronic and paper information/memo postings, communication boards, brochures, information handbooks Schedules and coordinates meetings including Director's, Management, Leadership, staff education, and other meetings. Distributes agendas, records & distributes minutes. Assists with preparation and presentation of statistical documentation. Processes and disseminates information including confidential personnel and disciplinary correspondence. Maintains confidential documents such as disciplinary correspondence. Performs clerical duties such as processing mail, filing, faxing, and answering inquiries by phone or email for administration support. Assists with Accreditation and special projects (such as the history of the ministry unit past and present). Coordinates social events, as assigned (i.e. Rally Day, Ministry Wide Socials, and February All-In Gathering) Other work-related related administrative duties.

RESPONSIBILITY FOR HUMAN RESOURCES:Maintains and updates confidential employee files and credentials as well as contact lists of employees, volunteers, and families. Assists with orientation of new employees during onboarding process. Attends Labour Management, disciplinary, and other meetings. Assists with organization of employee years of service recognition and other events.

MANAGERIAL/TECHNICAL LEADERSHIP RESPONSIBILITY:
This position reports to Corps Officer.
Supervises: none. Workflow coordinator.
FINANCIAL AND MATERIALS MANAGEMENT:Material responsibilities: confidential administrative and secretarial support functions and coordinates daily office activities for operational or corporate area(s). Uses or maintains organization assets in accordance with established guidelines. Does not process any financial transactions with no budget responsibilities.

WORKING CONDITIONS:The incumbent's work environment is typically in the office in a church environment Minimal travel is required within the Central Okanagan, and limited overtime May deal with complaints and conflict resolution situations on a regular basis

EDUCATION AND EXPERIENCE QUALIFICATIONS:
Education, Qualifications and Certifications:Completion of a formal post-secondary/college secretarial program of two academic year is required. Administrative Assistant certificate is a strong asset. An alternative combination of education and experience may be considered.

Experience and Skilled Knowledge RequirementsA minimum of two years of experience in the administrative field is required. Experience in church and non-profit sector is a strong asset. Ability to keep confidentiality. Excellent communication and organizational skills. Proficient with Microsoft Office (Excel and Word, including creation of spread sheets and graphs). Typing proficiency 60 w.p.m. Excellent telephone communication skills. Ability to work independently and as part of a team. Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.

Compensation:
The target hiring range for this position is $45,416.03 to $56,770.04 with a maximum of $68,124.04.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
