Executive Assistant

to join the team.



Position Responsibilities




Executive Support:


Perform general administrative duties that support Mayor; and Council as required. Anticipate the needs of the Mayor by connecting and making sense of diverse information arising from multiple sources. Act as the first point of contact and resource to the Mayor's office for incoming calls and correspondence. Organize meetings and meeting schedules for the Mayor, as needed, and prepare necessary information available in advance. Manage meeting logistics (facility bookings, audio-visual requirements, supplies, etc.). Arrange event booking and travel logistics (flights, accommodations, rental car, etc.). Assist with preparing monthly budget and variance reports, as needed. Process payments, assist with budget, liaise with finance and payroll to validate transactions and resolve discrepancies. Drafting, editing, proofreading and fact-checking internal and external communications and correspondence on behalf of the Mayor's Office. Liaise with internal departments and maintain positive professional relationships in support of the Mayor and Council's strategic and operational goals in a timely manner. Develop and implement office processes and procedures to ensure effective use of resources and optimal efficiency. Provide backup support to the Administrative Assistant III in the Legislative and Executive Services Department responsible for Council and Corporate Suite (Corporate Leadership Team and Director of Legislative and Executive Services). Other duties and projects as required.


Qualifications



A diploma in a related field: Public Administration, Business Administration or equivalent. At least five (5) years of directly related work experience, including a minimum of one (2) year in a senior executive support capacity. A valid driver's license. An equivalent combination of education and experience may be considered. You must possess the ability to prioritize and organize work assignments based on volume and deadlines. You must possess the ability to handle sensitive, confidential information using tact, diplomacy and mature judgment in all communication, including during high pressure situations (in person, in writing, and over the phone). Hours




The standard workweek consists of an average of 35 hours, with the specific schedule being determined by the immediate supervisor.




Compensation




Starting salary is $36.11 per hour as per the Out-of-Scope Agreement.
