The School District is seeking a highly skilled and professional Executive Assistant to provide advanced administrative and confidential support to the Superintendent of Schools, the Secretary-Treasurer and the Board of Education. This role is central to the smooth operation of senior leadership and governance functions across the District.
Key
Responsibilities
Manage complex calendars, correspondence, travel, and meeting logistics for senior leaders and the Board of Education.
Prepare and edit reports, presentations, and briefing materials.
Coordinate Board and Committee meetings, including agendas, materials, and minute-taking.
Maintain official Board records and ensure compliance with the
School
Act
, Board policies, and FOIPPA and that all reporting requirements are met.
Provide administrative support to Human Resources as required (job postings, letters of offer/resignation/retirement, collective bargaining minutes, supporting on-/off-boarding etc.).
Maintain Board policy and District administrative procedures by compiling and implementing amendments, and publishing updates on District website.
Assist with planning/coordinating district events and provide on-site support.
Serve as a primary contact for Trustees and support effective communication between the Board, district staff, and the community.
Support district communications, public notices, and event coordination.
Maintain confidential files and manage document workflows.
Qualifications
Grade 12 plus a post-secondary certificate or diploma in Office or Business Administration (or equivalent experience).
Minimum 3 years of senior-level administrative experience, preferably in the public sector and/or unionized environment.
Experience supporting executives or elected officials is an asset.
Advanced proficiency with Microsoft Office and digital collaboration tools.
Exceptional communication, organization, and time-management skills.
High attention to process, detail and accuracy.
Demonstrated ability to handle sensitive information with discretion and sound judgment, including ability to work under pressure and manage competing priorities and demands.
Demonstrated ability to work independently.
Knowledge of governance procedures and records management practices is preferred.

This full-time, permanent position is 35 hours per week, with typical schedule being Monday to Friday, 8:30 am to 4:30 pm starting February 17, 2026 or a mutually agreed upon date.
