Who Are We Looking For?


The Executive Assistant is an individual who coordinates and implements multiple systems with minimal supervision to support sales and coordinate the successful completion of listing and sales contracts. The EA is deeply committed to completing tasks the right way the first time, with a high level of attention to detail. The EA is committed to supporting the lead agent in achieving increasing levels of sales success, and to growing his/her own skills. S/he will coordinate the entire contract-to-close process efficiently and effectively to ensure all transactions close on time, with little or no hassle to our clients, vendors and colleagues. This individual must provide exceptional customer service.

What Will You Do?



Contract Coordination

Create and maintain accurate files for each sales contract Coordinate and track all sales contracts through closing, making contact as directed with clients, other realtors, law offices, and suppliers to ensure all deadlines are met Draft electronic paperwork Send electronic paperwork
Sales & Marketing Support

Coordinate sales and marketing materials for buyers, sellers and prospective clients, including hard copy marketing collateral, promotional items and data input Book showings and client visits and map driving routes Research community amenities and services such as schools, churches, shopping, transportation Coordinate and support staging, photography and other third-party services Update the client database
General Administration

Maintain the shared calendar to track all bookings and deadlines such as showings, conditions, closings, and presentations Label expense receipts, preparing them at regular intervals for accounting Answer in-coming calls and emails and route them appropriately Support the lead agent's participation in promotional events Pick-up and deliver documents, promotional items, etc. Attend training sessions as needed Other duties as required

What Knowledge/Skills Will You Bring?



Exceptional detail orientation Demonstrated aptitude for learning new software Strong written and verbal communication skills Service-based attitude; excellent at building rapport Calm under pressure Flexibility and a sense of humour 2+ years of administrative experience Must have a valid driver's licence & access to a vehicle
Job Types: Part-time, Fixed term contract
Contract length: 12 months

Pay: $23.00-$27.00 per hour

Expected hours: 20 per week

Work Location: Hybrid remote in Fredericton, NB E3C 2R9
