Executive Assistant (Student Position - Winter 2025)

January 1 - March 31, 2025

Hours:

20-35 per week

Location:

Edmonton, Alberta (Hybrid)

This short-term role is funded through an external student internship program. The position will run for approximately three months, with the possibility of renewal depending on performance and future funding.

Be a Canadian citizen, permanent resident, or individual with refugee status Be enrolled in a post-secondary program at the time of application and remain enrolled for a minimum of 30 days after the start date

About NAT



NAT (Network for Applied Technology) is a nonprofit that helps learners explore emerging technologies and apply them to real-world challenges. Since 2019, we have delivered hackathons, workshops, and innovation programs that have reached thousands of students and early-career professionals across Canada.

Role Summary



We are seeking a student to assist with executive operations and partnership efforts. The Executive Assistant will work closely with NAT's CEO and Development team, providing administrative coordination, communication support, and outreach assistance. This role is ideal for someone interested in leadership support, nonprofit operations, and relationship-building.

Note: This position will only proceed if external funding is officially confirmed.

What You'll DoExecutive & Administrative Coordination



Organize the CEO's calendar, meetings, and priority lists Prepare internal and external materials, including briefs, slide decks, and reports Facilitate communication between the CEO, internal teams, and partner organizations Maintain files and follow-up systems to support an efficient workflow

Partnership & Development Support



Help identify and engage prospective partners from academia, industry, and community organizations Assist with grant applications, sponsorship proposals, and supporting documents Track outreach activity and partner relationships through CRM software Take part in community events to help represent NAT and build connections

Communications & Stakeholder Support



Support email correspondence, meeting preparation, and documentation for sponsors and partners Contribute to professional presentations and reports Monitor deliverables and ensure commitments are completed

Process & Systems Improvement



Update internal templates, databases, and documentation Assist with improving administrative and partnership workflows Support tracking and preparation related to grants and sponsorship records

Skills & Attributes



Strong writing and communication skills Highly organized and detail-oriented Able to manage confidential information appropriately Comfortable working independently and in a fast-paced environment Interested in relationship-building, operations, or nonprofit work

Tools You'll Use



Google Workspace (Docs, Sheets, Drive, Calendar) Gmail, Slack, Google Meet ClickUp or other project tracking tools Canva / Google Slides

QualificationsRequired



Experience coordinating tasks, schedules, communications, or projects through work, school, or volunteering Strong organizational habits and time-management skills Ability to work independently and maintain professionalism

Preferred



Experience supporting a supervisor, team, or executive Familiarity with CRM systems or project management tools Interest in operations, partnerships, or nonprofit management

Working Arrangement



This position is based in Edmonton with a hybrid schedule. The successful candidate will be expected to attend in-person workdays 1-2 times each week and be available for major project activities.

Job Types: Part-time, Fixed term contract
Contract length: 3 months

Pay: $17.00 per hour
