Position Overview
The Executive Assistant supports NAT's executive operations and partnership development efforts. This hybrid role combines administrative coordination with outreach and relationship management.
You'll work directly with the CEO to manage schedules, track priorities, and support partner communications, while also assisting the Development team with sponsorships, grants, and stakeholder engagement. This position offers an opportunity to build experience in leadership support, fundraising, and communications within a collaborative nonprofit environment.
Please note: This position is contingent on external funding and will only proceed if funding is secured.
Key Responsibilities
Executive & Administrative Support
Manage the CEO's calendar, meeting logistics, and task tracking
Prepare briefing notes, presentations, and reports
Support communication between the CEO, internal teams, and external partners
Maintain organized digital records and ensure timely follow-up on key items
Partnership Development & Outreach
Identify, evaluate, and engage new partners across academia, industry, and nonprofit sectors
Support proposal drafting and presentation design for sponsorship and funding opportunities
Manage relationship tracking and follow-ups through CRM tools (Odoo)
Coordinate digital campaigns and outreach to strengthen ecosystem visibility
Attend community and industry events to represent NAT, build new connections, and maintain active relationships with existing partners
Communications & Relationship Management
Assist with correspondence and meeting coordination for partners and sponsors
Support the preparation of presentations and reports for external stakeholders
Ensure deliverables and commitments are tracked and completed on time
Process Improvement & Documentation
Contribute to refining administrative and partnership processes
Maintain up-to-date templates, databases, and documentation
Support planning and recordkeeping for grants and sponsorships

Qualifications
Required
Experience managing schedules, projects, or communications in a work, volunteer, or school setting
Strong organizational and coordination skills
Ability to work independently and handle confidential information responsibly
Preferred
Experience supporting executives or project teams
Familiarity with CRM tools or project management software
Interest in operations, leadership, or nonprofit management
Working Conditions
This is a hybrid position based in Edmonton. The student is expected to work in person 1-2 days per week and be available for key project milestones.
