Your Opportunity
As an Executive Assistant you will be a vital member of the Executive Assistant team. You will be responsible for taking initiative and ownership in facilitating successful administrative practices as directed by your assigned Partner. You are a detail-oriented, curious individual who can quickly learn and work with minimal supervision.
Your Scope:
Provide full administrative support to one or more Partners, within the Assurance and Advisory practice area.
Track and maintain confidential client records - printing, scanning, filing and electronic archiving.
Correspond directly with clients via email and virtual platforms, over the phone and in-person and respond to a variety of inquiries.
Arrange conference calls, meetings, appointments and room bookings.
Prepare invoices, various administrative reports for signature, client account set-ups, mail, and couriers.
Prepare and track various professional correspondence, both manually and electronically.
Ensure final client deliverables are proofread and properly formatted before being sent.
Communication with all Firm members and senior leadership, clients and third-party vendors.
Your Qualifications:
Two to five years of executive administrative experience working with Partners of C-Suite executives.
A diploma in Office Administration, Accounting or Legal Assistance would be an asset.
Knowledge and experience working in accounting software such as CaseWare and Tax Prep
would be an asset.
Previous experience in a public practice environment would be an asset.
Intermediate to advanced proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
Ability to navigate a high-paced professional services environment
An ability to follow direction effectively and work well independently and within a team.
Keen attention to detail.
Excellent verbal and written communication skills, and a high aptitude for providing
exceptional customer service.
