Norwood Child and Family Resource Centre is an Edmonton based non-profit organization that has been supporting children and families since 1963, with a vision of Healthy Children, Healthy Families, Healthy Communities. Our programs and services are designed to strengthen and enrich families with children birth - 6 years old. Early childhood experiences are aimed at fostering optimal child development and healthy parent-child attachment. Parent education opportunities are created to support building the capacity of families. Family support services are provided to support families as the child's first and most important teacher. Information and referral is a key practice in supporting families to grow and learn within their own communities. Programs are delivered using a holistic approach to support the social, emotional, intellectual, language, physical and creative needs of children and families in the community.

Position Summary:



The Executive Assistant is responsible for coordination that supports achieving the overall goals and objectives of Norwood Centre and supports the Executive Director in completing all required responsibilities that reflect the Agency's Mission, Vision, and Values. This position has a variety of responsibilities within the scope of the role to ensure that the objectives are achieved.

This position requires a flexible work schedule which includes occasional evenings and weekends to support leadership and Board of Director activities.



Reporting to the Executive Director, the Executive Assistant is responsible for the following:



Reporting and Documentation:

Creating and supporting the production and collection of data and information to compile correspondence, documents, reports, presentations, templates, including board reports, strategic and operational plans, annual reports, and various funding proposals, reports, and submissions. Compiling and entering necessary data and documentation into agency and collaborative data systems while maintaining accurate, timely, and complete electronic and paper files. Providing support to create, copy, edit, proofread, and revise forms, documents, publications, and presentations.

Communication:

Facilitate clear and professional communication between the Executive Director, the Board of Directors, C5 partners, and all other internal and external contacts. Draft correspondence and assist with monitoring and responding to the Executive Director's emails and other inquiries.

Board Support:

Providing administrative support to the Board of Directors including coordinating onboarding, orientation, and professional development for new and current Board members. Providing meeting support for Board, Board Committees, and other board activities as required.

Calendar and Meeting Management:

Schedule, organize, and coordinate logistics for multiple meetings, including preparing agendas, distributing materials, and recording accurate minutes. Coordinating meetings and appointments and managing the Executive Director's calendar.

Events:

Planning, coordinating, and managing various staff and Board events.

The ideal candidate will possess the following qualifications:



Diploma or Degree in Business or Office Administration or a one-year office administration certificate, or equivalent

Minimum of 5 years' experience supporting senior level leadership

Advanced level proficiency in Microsoft 365 and database systems

Proven ability to manage sensitive information with confidentiality and discretion

Strong organizational skills and attention to detail

Ability and flexibility to prioritize and manage multiple tasks in a fast-paced environment

Strong judgement, problem-solving skills, and the ability to act decisively, anticipate needs, and take initiative

Exceptional verbal and written communication and interpersonal skills and the ability to work with multiple teams and external stakeholders

A valid driver's license and access to a reliable vehicle

Criminal Record Check and Child Welfare Intervention Record Check (findings will be reviewed on a case-by-case basis)

The following qualifications are considered an asset:



Previous experience or familiarity supporting a Board of Governors/Directors or governance body

Experience working in partnership with community stakeholders such as government officials, community leaders, or other nonprofit organizations

Knowledge and understanding of regional governmental structures, practices, and legislation

The ability to quickly learn, utilize, and provide support with software applications and other technological programs

The hourly range for this role is $27.62 - $38.08 per hour ($50,275 - $69,310 per year) based on a 35-hour week.
