Reporting to the Team Lead Faculty Services, and working closely with the senior leadership, the EA team supports the Faculty of Engineering\'s Executive leadership team of Associate Deans and their various portfolios. This position requires a solid understanding of the University structure, general academic programming, governance, administration, operation and program needs, as well as excellent communication and organizational skills.This position requires the ability to work both independently and as a team member, provide innovative solutions, prioritize multiple tasks, and manage expectations, at times under challenging time constraints.DutiesProvides administrative support to one or more Associate Deans, including the following:

  • Plans and coordinates events including initiating purchase requisitions, purchase orders and invoices through SupplyNet, processing non-employee expense claims, and reconciling expenses through pcard(s) related to all events.
  • Provides general transactional financial support for all activities within the assigned portfolios
  • Prepares minutes, emails, internal communications, agendas and other correspondence
  • Plans and schedules calendars and drafts agendas for meetings/committees
  • Ensures the leaders have appropriate background/briefing materials for each meeting
  • Compiles and summarizes information for inclusion in reports or presentation materials
  • Receives visitors, guests and dignitaries on behalf of the leader
  • Responds to inquiries and determines the appropriate action required
  • Works on various projects or other duties as required
Minimum Qualifications
  • Diploma (Preferably a diploma program in business administration)
  • 2-3 years of progressively responsible operational support experience supporting leaders at the executive level, preferably in a post-secondary setting
  • Demonstrated proficiency with Google Workspace, MS Word, Adobe Acrobat, and large organization ERP (preferably PeopleSoft)
  • Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with all stakeholders at all organizational levels
  • Ongoing excellent communication with all stakeholders from a wide variety of backgrounds
  • Demonstrated ability to work independently and collaboratively
  • Demonstrated ability to manage time and workload effectively and meet deadlines
Preferred Qualifications
  • Familiarity or experience with Engineering or a related STEM field is considered an asset.
