The Opportunity

We are thrilled to once again partner with our south side client in their search for an Executive Assistant to join their team. The main function of this position is to provide senior level support to both the CSO and the VP of Operations. The successful candidate must be a self starter who is able to think on their feet and be proactive in the needs of the executive team. The ability to juggle multiple priorities and fast moving deliverables is key.

Key Account Responsibilities and Functions

  • Provide direct support to both the Chief Sales Officer and Vice President of Operations, as well as other members of the executive team as required.
  • Maintain work commitments and calendars for both the CSO and VPO.
  • Prepare and book travel schedules (flights, accommodations etc).
  • Coordinate logistics of meetings and large scale events.
  • Take and transcribe dictation notes and meting minutes.
  • Prepare and draft reports, spreadsheets and documents, review all documents and correspondence on behalf of senior level team for accuracy and completeness and edit as necessary.
  • Prepare PowerPoint presentations as required.
  • Process expense reports and invoices on behalf of the executive team.
  • Receive and direct phone calls for the executive team; greet visitors.
  • Other administrative tasks as assigned.
Required Skills and Qualifications
  • Minimum 3+ years of related experience.
  • Advanced Office 365 skills (Word, Excel, Outlook and PowerPoint skills).
  • Confident and friendly demeanor; proactive and energetic problem solver.
  • Outstanding written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Strong business acumen and ability to deal with confidential information.
Compensation and Benefits
  • Annual salary in the range of $60,000 - $70,000 along with a generous benefit plan. Free parking available on site.
