As an Executive Assistant you excel in providing high level support to executive leaders and board directors, and you thrive on identifying and taking an interest in all areas of the business. We are seeking someone to provide high-level administrative support to the executive team and the board of directors at our client's head office in Kelowna, BC. Reporting to the General Counsel, the Executive Assistant will have knowledge and experience assisting in the execution of corporate strategy and key initiatives, and familiarity with corporate governance and constating documents. This position will help build and lay the foundation for our client's organizational efficiency through communication, collaboration, and organization. We are seeking someone with a high level of responsibility as this position will be demanding, dynamic, and highly rewarding.

What you'll do:

  • Provide administrative support to members of the executive team, including Outlook calendar management, internal communication, and rescheduling of appointments/meetings as needed
  • Efficiently manage and establish clarity to all incoming inquiries/requests for information or re-direct to the appropriate person or department
  • Review/prepare written correspondence, reports, etc. for grammar, sentence structure, format, attachments, continuity of text, and compliance with applicable laws, rules, and procedures
  • Take a lead role in executive and board meeting management including pre-meeting material distribution, accurate minute-taking, and follow up of any action items
  • Support/advise the CEO and Board Chair on matters pertaining to corporate governance
  • Ensure constating documents and other corporate materials are kept current and properly filed
  • Inform executives of important matters arising in their absence and direct attention to significant correspondence or matters requiring their attention
  • Coordinate files and manage the corporate library, including liaising with external legal firms
  • Support off-site management meetings and company corporate retreats/events as needed
  • Provide short-term administrative backup support as required
What you'll have:
  • University diploma/degree in business administration, finance, communications, or other relevant field of expertise
  • 5+ years providing executive-level administrative support; or 3+ years working with a Board of Directors and/or board-appointed committees
  • Strong business acumen, vocabulary, and terminology
  • Advanced-level knowledge of common industry software such as Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe, calendar scheduling, and DocuSign
  • Basic understanding of financial/accounting principles
  • Ability to use discretion when dealing with matters of confidentiality
  • Corporate legal knowledge or experience, although not required, would be an asset
  • Excellent written and oral business communication skills, including correct English usage, spelling, grammar, and punctuation
  • Excellent judgment in setting priorities and in identifying and determining action required
  • A strong work ethic
  • Ability to travel on occasion
