We are seeking a versatile and detail-oriented Executive Assistant to support the college's daily operations. This role is ideal for someone who thrives in a dynamic environment, enjoys working behind the scenes to keep everything organized, and can balance administrative accuracy with initiative and communication.
Responsibilities
Serve as the primary assistant to the BOD and Operation Manager, helping coordinate daily priorities, communications, and scheduling.
Serve as a communication bridge between students, instructors, and staff, helping ensure questions, updates, and concerns are directed to the right person quickly and professionally.
Support teamwork and collaboration by relaying important updates between academic and operations teams, and ensuring information flows smoothly across departments.
Promote a positive student experience by helping connect students with resources, instructors, or administrative support when needed.
Assist with travel arrangements and represent CHBC at off-site meetings or events when required.
Provide general administrative and operational support to ensure tasks are completed accurately and on time.
Provide direct support to management by following up on delegated tasks, coordinating communications, and ensuring daily priorities are completed on time.
Review student records regularly to confirm all files are complete and compliant; follow up with the appropriate staff to update missing student records.
Contact students for interviews, assist with financial support (including Student Aid) if needed
Maintain awareness of Private Career College (PCC) and Student Aid Alberta requirements and ensure CHBC remains audit-ready.
Coordinate with operations on ordering, logistics, and other general administrative tasks.
Manage and track practicum placements, communicate with host sites, and ensure all documentation is complete.
Support coordination of internal and external events such as graduations, orientations, and community outreach.
Prepare reports, summaries, and compliance documentation as requested.
Coordinate calendars, book meetings, and follow up on action items
Qualifications
1-2 years of administrative or executive assistant experience (preferred)
Proficiency in Google Workspace and Microsoft Office.
Strong coordination and follow-through skills.
Basic understanding of Student Aid Alberta and PCC requirements (training will be provided).
Comfortable contacting students, vendors, and external partners.
Reliable and professional with excellent time management.
Willingness to travel for events, practicums, or outreach.
Job Type: Full-time
Pay: $17.00-$18.00 per hour
Expected hours: 40 per week
