Executive Assistant

to join our team

on-site

in our Calgary facility working 40 hours/week (Monday - Friday).


THE ROLE





The Executive Assistant provides high-level administrative support to senior executives to ensure efficient operation of the office. Supporting the CEO, VP of Research, and VP of Sales, the objective of this role is keep our leadership team organized, prioritized and effective in the use of their time to drive the company forward.





DAY-TO-DAY




Manage complex calendars, schedule meetings, and coordinate travel arrangements (domestic and international). Prepare and edit correspondence, communications, presentations, and other documents. Handle confidential information with a high level of discretion and integrity. Serve as the primary point of contact between executives and internal/external stakeholders. Plan and coordinate events, tradeshows, conference, employee events, client meetings, internal meetings, and offsite sessions. Track and manage expenses, invoices, and reimbursements. Conduct research and compile data to support executive decision-making. Assist in preparing reports, proposals, letters, communications and presentations for internal and external use. Prioritize and manage multiple projects simultaneously with minimal supervision. Support team-wide initiatives and contribute to improving administrative processes. Support Sales Department with special projects, and events. Ad hoc administrative support for the senior leadership team. Support R&D with sourcing and ordering unique supplies for new products. Receptionist duties including but not limited to checking in visitors, conducting visitor orientations, and phone management. Other duties as required.

IDEAL FIT





Education & Experience


Minimum 10 years experience or administrative, or executive support. Experience supporting multiple departments or executives is an asset.

Criminal Record Check WHMIS certification



WORKING CONDITIONS




On-site

in SE Calgary GMP compliant facility 40 hours/week (Monday - Friday) On site with pharmaceuticals, chemicals and hazardous materials present.
