Meet the Team Our executive team drives the vision, mission, values and implements the strategic plan of the Pembina Institute, while taking direction and oversight from its Board of Directors.

The Opportunity We\xe2\x80\x99re looking for an Executive Assistant based out of our head office in Calgary to join our executive team.
We\xe2\x80\x99ll lean on you to act as the administrative anchor to our Executive Director, supporting all aspects of engaging the Board of Directors and enabling it to carry out its strategic oversight and governance function.

Your Key Responsibilities

  • Coordinate the activities of the office of the Executive Director as they relate to the overall operations of Pembina Institute.
  • Complete a broad variety of administrative tasks that facilitate the Executive Director\xe2\x80\x99s ability to effectively lead.
  • Act as the gatekeeper for the Executive Director with internal and external contacts, including, colleagues, clients, and other stakeholders.
  • Provide sophisticated calendar management, prioritizing inquiries and requests while managing conflicts effectively.
  • Directly support the Board of Directors by arranging and managing all coordination for board materials and events, including general meetings and subcommittee meetings.
  • Format and compile correspondence, reports, and other meeting materials.
  • Monitor and synthesize the organization\xe2\x80\x99s Key Performance Indicators (KPIs) and other important performance metrics as required.
  • Support internal and external events such as fundraisers and alumni gatherings, including coordination of venue, catering, hotels and other logistics.
What We\xe2\x80\x99re Looking For As a liaison to the executive team, you demonstrate both personal and professional commitments to advancing the Pembina Institute\xe2\x80\x99s vision, mission, values and strategic plan.

You will exhibit good judgment in all situations, strong organizational skills, and the ability to determine priorities amongst many. You demonstrate the ability to work independently on projects, from conception to completion, and can work under pressure to manage a wide variety of activities and confidential matters with discretion.

You also have:
  • A minimum 3 years of prior experience as an Executive Assistant supporting a senior executive
  • At least 5 years\' experience working in office administration
  • Post-secondary education in administration, business, or a related field. A combination of work experience and education may be considered
  • Prior experience with corporate governance and/or working with a board of directors
  • Strong communication and interpersonal skills
  • Strong computer skills, especially Microsoft 365 (Outlook, Word, PowerPoint) in a Teams environment
  • The ability to pay exceptional attention to detail
  • The ability to produce briefings, reports or presentations
  • The ability to learn quickly
  • The ability to work in a fast-paced environment
  • The ability to travel occasionally
Compensation and Benefits The hiring range for the position is $70,338 to $78,454 annually based on a 37.5-hour work week, with a range maximum of $86,569. Within this range, individual pay is determined by factors inclusive of job-related skills, related experience, education and/or training, and internal equity.
