Our prestigious client is a generational homebuilder with an exceptional reputation in the industry. They have a collective group of high performers devoted to the organization and have been in the business for 20+ years. With tenured staff and a dynamic leadership team, this group is looking to bring on an Executive Assistant to support the CEO, the executive team, and the HR department.

This role is expected to liaise between all internal and external partners. The candidate needs to be excited about facilitating administrative support across a multi layered organization. It is often outward facing in nature, and as such, can be very visible. As the company ambassador, the candidate will require the highest level of professionalism and discretion.

Duties and Responsibilities:

As a member of the team, reporting to the CEO, you will collaborate with team members and partners to execute effective administrative initiatives to support business objectives.

The key job functions are:

  • Managing, booking, optimizing, and supporting the CEO's schedule
  • Ensuring that the CEO has all material and briefing notes well ahead of meeting times, in a clear, easy to review format
  • Maintaining the CEO's contact list and developing a relationship with those contacts
  • Providing, as required, background research for the CEO on various matters
  • Writing correspondence for the CEO
  • Monitoring and managing the CEO's email accounts and responding as appropriate
  • Attending various events to provide support to the CEO, sometimes outside of typical working hours
  • Preparing agendas, briefing materials, and meeting materials
  • Preparing the CEO's various expense reports and other administration requirements
  • Managing the CEO's digital and paper filing systems
  • Acting as a resource to the leadership team
  • Handling confidential information and data - always adhering to privacy and confidentiality
  • Staying current by continuously updating job and industry knowledge
  • Leveraging technology to improve organization, communication, and efficiency
  • Understanding the company's business model
  • Actively building and maintaining an inviting company culture
  • Stepping in to cover other administrative duties when needed
  • Arranging corporate events, meetings etc.
Education:
  • Relevant post-secondary
Qualifications:
  • Vaccine mandate in effect
  • Clean criminal record check
Experience:
  • Five or more years' experience as an Executive Assistant supporting senior leadership
  • Proficiency in full Microsoft Office Suite
Skills:
  • Exceptional attention to detail, organized and a multitasker

Base Salary: $80,000 - 90,000+ per year (based on experience)

  • 40 hours per week
Remote Work:
  • This position is not remote. You are required to be on site.
Additional Notes:
  • This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
