Job Description


We are looking for a highly organized and proactive Executive Assistant to join our team in Burlington, Ontario. In this contract position, you will play a pivotal role in supporting senior leadership by managing schedules, coordinating meetings, and handling essential administrative tasks. This opportunity is ideal for someone with excellent communication skills and a proven ability to manage multiple priorities in a fast-paced environment.
Responsibilities:

  • Manage complex executive calendars, including scheduling meetings, resolving conflicts, and anticipating needs to ensure smooth daily operations.
  • Coordinate internal and external meetings, conference calls, and virtual sessions, including preparing agendas, booking venues or links, and distributing materials.
  • Prepare, review, and submit expense reports and reimbursements in a timely and accurate manner.
  • Draft, proofread, and manage correspondence, presentations, and reports on behalf of executives.
  • Organize and maintain digital and physical filing systems, ensuring document confidentiality and accessibility.
  • Liaise with internal departments and external stakeholders to relay information and follow up on requests.
  • Assist with the collection and consolidation of financial and operational reports for senior management review.
  • Support special projects and ad hoc administrative tasks as assigned.
  • Minimum 5 years of experience supporting senior executives in a corporate or professional services environment.
  • Exceptional written and verbal communication skills.
  • Strong organizational and multitasking abilities with acute attention to detail.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Microsoft Teams).
  • Proven ability to handle sensitive information with the utmost confidentiality.
  • Professional, polished, and proactive approach with strong interpersonal skills.
