•The Opportunity: •
We are looking for an experienced Executive Assistant to join our team reporting directly to the CEO. This position requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. They will provide comprehensive support to our C-Suite (Founder, CEO and CFO) along with support to the Executive team as required. This position will work with highly confidential material, requiring the utmost in discretion.
•Key Duties & Responsibilities: •
• Prepare an organize materials for meetings, including agendas, presentations and reports. This includes quarterly BOD meetings and various leadership meetings.
• Manage the CEO and Founders calendars, including scheduling meetings and assisting with drafting various correspondence, presentations and other documents.
• Assist in the completion and submission of insurance claims.
• Work closely with the CFO in the preparation, coordination and file management of various legal documentation.
• Coordinate meals, travel and accommodations for guests and customers for the C-Suite.
• Arrange domestic and international travel for the executive team, including flights, accommodations, transportation and securing trave Visas.
• Prepare detailed itineraries and ensure all travel arrangements align with company policies and complete travel and expense reports as needed.
• Supports special projects and initiatives.
• Manage other general office duties as required, including coordinating the delivery and distribution of mail, ensure all meeting rooms are maintained with adequate supplies as needed.
• Coordinates and corresponds with internal and external parties maintaining courteous and professional service.
• Responsible for handling sensitive information with the utmost confidentiality and professionalism.
•Qualifications & Experience: •
• Proven experience as an Executive Assistant or in a similar role supporting senior management.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
• Experience with Hub Spot an asset.
• Exemplary planning and time management skills - ability to multitask and prioritize daily workloads
• High level verbal and written communications skills
• Discretion and confidentiality
• Self-starter with good practical judgment and decision-making ability
• College/university certificate/diploma in Business, Communications, Office Administration or related field preferred.
