We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role offers an opportunity to work in a dynamic environment where professionalism, discretion, and a positive attitude are essential. The position is paid and requires a commitment to maintaining confidentiality and delivering exceptional administrative support.
Responsibilities
Calendar Management: Maintain and manage the Executive Director's calendar, including scheduling meetings, appointments and travel arrangements.
Communications: Screen and respond to phone calls, emails and other correspondence on behalf of the Executive Director when appropriate. Draft and edit communications when required.
Administrative Tasks: Perform general administrative duties for the Executive Director when required. This includes, but is not limited to, filing, copying, scanning, and other clerical functions as needed.
Travel & Expense Management: Arrange detailed travel plans, itineraries, and compile documents required for travel. Gather and reconcile credit card expenses and receipts.
Project Management: Support special projects and assist with project coordination, including tracking progress, managing timelines, and ensuring deadlines are met
Confidentiality: Handle sensitive information with the highest level of discretion and confidentiality.
Liaison: Act as a liaison between the Executive Director and other C4i Administration Team Members and external partners.
Other Duties: Perform other tasks/duties as identified by the Executive Director
Front Desk/Reception: Along with high-level administrative support to the Executive Director, the Executive Assistant performs the following duties to ensure that the front desk is a welcoming reception for visitors to the office building.
Maintain confidentiality of sensitive information while providing exceptional customer service to internal and external stakeholders.
Skills
Minimum two years of administration experience in a non-profit or para church environment
Strong attention to detail and a high level of proficiency in word processing and office software (e.g., MS Office, Adobe, Canva, CRM, etc).
Exceptional executive functioning skills - must be able to prioritize, organize, plan, and manage multiple tasks simultaneously.
Flexibility and resilience to thrive in a fast-paced, evolving work environment.
A solid understanding of C4I's mission, theology, and global context.
Excellent verbal and written communication skills.
Self-motivated professional with good communication and interpersonal skills, who can collaborate well with various departments
